Job description

We are recruiting a Facilities Coordinator to join the Rapport team and oversee day‑to‑day support across our client’s London City offices. The role serves as a central point of contact, ensuring a smooth, professional experience for staff, guests and senior stakeholders while upholding agreed service standards.

Contract Details
  • Type of contract: Full‑time, Permanent
  • Hours: 40 per week (Monday‑Friday, 7 AM – 4 PM; with some flexibility as per business needs)

Responsibilities
  • Keep all workspace areas, meeting rooms, tea points, storage spaces and post zones tidy, well‑presented and fully stocked; raise any housekeeping or supply concerns.
  • Carry out routine checks such as floor walks, daily forms, online records and trackers; ensure information is logged accurately and reviewable by management.
  • Coordinate with the Helpdesk and relevant teams to report maintenance needs or service faults; follow up to ensure issues are resolved promptly.
  • Support colleagues and senior stakeholders by maintaining high service standards, collaborating with on‑site teams and assisting with onboarding and off‑boarding requirements.
  • Monitor internal moves, locker allocations and clear‑desk compliance; manage inbox queries and provide administrative support while maintaining confidentiality and data accuracy.
  • Uphold all health and safety procedures, contribute to required reporting, attend meetings and keep storeroom areas safe and organised; keep managers informed of progress, risks and updates.
