Our client are looking for an organised, proactive, and detail-oriented Project Administrator to join their expanding team in Manchester.

This site-based role is key to supporting our Directors, Project Managers, Engineers, and Site Teams.

You will ensure that all administrative, documentation, and compliance processes are efficiently managed to support project delivery.

About the Role

As a Project Administrator, you will manage all administrative duties, providing essential support to Directors and site teams. You will play a pivotal role in ensuring projects run smoothly by maintaining accurate records, managing documentation, and coordinating information flow between the office, site, subcontractors, and clients.

This role is perfect for someone who thrives in a busy construction environment, is highly organised, and enjoys being at the heart of project operations.

Key Responsibilities
Project Administration & Support
  • Manage all administrative duties for multiple projects, including typing letters, filing, and maintaining accurate records.
  • Assist Directors and Project Managers with daily paperwork and correspondence.
  • Support Contracts/Site Managers on-site with secretarial and administrative tasks.
  • Update labour returns, staff records, and project logs to ensure accuracy.
Document Control & Compliance
  • Distribute construction drawings, plans, and technical documentation to site teams and subcontractors.
  • Manage project documentation including purchase orders, tender documents, sub-contract orders, and compliance paperwork.
  • Create and maintain Health & Safety files for project completion.
  • Prepare construction phase plans, fire protection certificates, RAMS, and O&M manuals.
  • Ensure all documentation meets required standards and is easily accessible to relevant teams.
Meetings & Coordination
  • Participate in site meetings with subcontractors and clients.
  • Take accurate minutes of meetings and distribute promptly.
  • Liaise with clients, contractors, suppliers, and internal teams regarding document submissions, updates, and approvals.
Community & Sustainability
  • Prepare Considerate Constructors documentation, including newsletters and resident progress boards.
  • Manage the Construct CO₂ system and ensure sustainability and environmental records are up to date.
About You

Experience in project administration, document control, or administration.

Strong organisational and multitasking skills, capable of managing multiple projects simultaneously.

Excellent communication skills, both written and verbal.

Competent in Microsoft Office (Word, Excel, Outlook) and able to quickly learn new systems.

Knowledge of Health & Safety files, compliance processes, and construction documentation is highly desirable.

Able to work on-site in Manchester, supporting both office and site teams.

Proactive, detail-oriented, and able to work independently and collaboratively.
