Job description

The Administration team within the Infrastructure Projects Directorate of Transport Scotland is responsible for providing administrative support to three Design Teams regarding the design, assessment and promotion of a number of key infrastructure projects on the Motorway and Trunk Road Programme including the flagship A9 Dualling Programme, improvements to the A96 and the A83 Rest and be Thankful.

This B1 Project Administrator post will be responsible for the administration work necessary to take forward the statutory procedures for promoting new trunk road projects for Design Team 3 which predominantly leads on promoting improvements to the A96. This will involve dealing with objections and other related matters to published Orders. As an Action Officer, the post holder will also draft responses to Ministerial correspondence, PQs and assist with the co-ordination of briefing material for Ministerial engagements. The post holder will also be responsible for the administration of compensation claims and invoices received into the Branch. Line management responsibility consists of one A3.

Responsibilities
  • Preparation of Ministerial Correspondence, Official Replies, Freedom of Information and Environmental Information Regulations Requests, Chief Executive replies, answers to Parliamentary Questions/First Minister Questions and speeches to the high standard expected by the Scottish Government and ensuring that responses are accurate, easy to read and issued within set timescales.
  • Providing advice and guidance to colleagues on Ministerial, Government and Parliamentary processes.
  • Liaise regularly with Project Managers within Project Delivery to maintain up-to-date knowledge of project progress and current issues to develop and update latest lines and briefs for correspondence.
  • Liaise with a wide range of internal and external stakeholders, including a range of business areas in Transport Scotland (including Transport Scotland Legal Advisors) and the Scottish Government, alongside Ministerial Private Offices.
  • Direct line management responsibility comprising of 1 A3 post.
  • There may be a requirement to work closely with colleagues across the wider administration team to provide additional administrative support at peak times.
