Practice Assistant, Employment (Part-time - Monday and Tuesday) will provide efficient and effective administrative services to fee earners assigned (Partners, Senior Associates, and equivalents) with the Employment and Compensation practice group.
- Manage and coordinate all aspects of tasks assigned (e.g. meetings, events, travel, etc.)
- Client intake administration (e.g. Anti-Money Laundering (AML), engagement letters)
- Provide billing support to attorneys
- Act as a gatekeeper
- Complex diary management, call handling, and meeting organization for external meetings (utilizes General Admin Services (GAS) for internal meetings
- Manage the in-box, assist with email filing into iManage, and support with hard copy filing
- Support client activities by being in direct contact with clients and their assistants
- Build and coordinate relationships with Service Centers, other BM secretaries, and teams
- Utilize and review materials from Service Centers to ensure efficiency and accuracy
- Document production for urgent jobs that are not suitable to be done by Document Services
- Manage competing deadlines
- Liaise with courts and ensure accurate development of court documentation/bundles as required
- Provide administrative support at meetings, capturing outputs, and following up as needed; Action any assigned specific tasks/objectives as output of the meeting
- Support junior secretarial staff by acting as a mentor/buddy

A good amount of experience working in a legal sector or other professional services environment
- Experience supporting fee earners or client teams within an Employment practice, including direct involvement with client intake, billing, and document management processes
- Familiar with Anti-Money Laundering (AML), Client due Diligence (CDD), and other compliance requirements relevant to Employment
- Proficient, through job-related training and work experience
- Proficient in using Microsoft Word, PowerPoint, Excel, Access, and Teams
- Strong diary/calendar management skills
- Strong document management skills
- Able to problem-solve based on standard ways of operating
- Able to manage competing tasks and demands
- Proactively seek to upskill
- Able to establish and maintain effective working relationships; a team player
- Strong communication skills, both written and verbal
