Job Summary

We are delighted to advertise for a brand new and innovative role tailored to Pharmacy Support Workers supporting the Pharmacy Procurement Team. You will also support the dispensary team carrying out Final Accuracy Checking and dispensing with the appropriate training. The post holder will work as part of a dynamic Pharmacy procurement team in delivering an efficient and effective procurement service including the delivery of savings initiatives. Assist the Pharmacy Technicians for Procurement Services, undertaking procurement activity in the form of ordering, contract monitoring, financial reclaims, stock management and invoicing. Support the Pharmacy Procurement team in all aspects of administration, operational service and system development, as well as supporting the wider Pharmacy team with core duties.

Main duties

The post holder will support the Procurement team with Procurement duties, CMU contracting lines, contract negotiations and other projects with accurate, consistent, and meaningful data analytics. This will involve the management of CMU updates, monitoring and management of out-of-stock lines, off-contract reclaims and the updating of our Pharmacy systems. They will help co-ordinate the day-to-day workload of the Procurement Team, whilst supporting the Department carrying out core duties.

  • To plan and co-ordinate the day-to-day workload of the Pharmacy Procurement ATOs2. To be responsible for the timely ordering of stock and processing of invoices on the Pharmacy computer system for the Pharmacy Departments across MPFT, Redwoods, St Georges and Haywood, and to also include Inclusion Services and the Sexual Health Services across MPFT.
  • To create and run Power Bi, Ascribe, Commercial Medicines Unit (CMU), procurement usage reports and identify any stock issues.
  • Support, Train and develop the staff working in Pharmacy Procurement Team.
  • Liaise with the Wholesale companies, Pharmacists, clinics, and patients to resolve any issues and ensure timely supply of medication.
  • To produce workload figures and monitor Key Performance Indicators to improve the service.
  • To maintain the pharmacy computer system ensuring that drug contract prices are updated as required.
  • To investigate and resolve supply problems and queries with orders and stock, purchasing in timely manner to minimise shortages.
  • To maintain the manufacturers cant supply spreadsheet, communicating with the appropriate staff with supply issues.
  • Manage critical medicines ensuring that stock is always available.
  • To review and monitor stock and re-order levels to reflect current usage within the Pharmacy Departments across Redwoods, Haywood and St Georges Hospitals.
  • To act as a contact point between pharmacy and the trust Finance Team.
  • To assist in the accurate keeping of records for the procurement of unlicensed and imported medicines.
  • To investigate, follow up and record any discrepancies with stock.
  • To participate in the supply of stock medication via the ward top up services.
  • To accurately pick and issue stock to Wards and Departments.
  • To act upon Medicines and Healthcare Products Regulatory Agency drug alerts, producing any necessary information.
  • To train, monitor and develop the role of new starting Assistant Technical Officers and Pre-Registration Pharmacy Technicians in Procurement, when necessary.
  • Support the writing and updating of Standard operating procedures and training packs.
  • Support to implement any new processes and training requirements for Pharmacy and ward/community teams.
  • Review and update new Contract policies within Pharmacy Procurement, ensuring amendments are made in a timely manner.
  • To play an active role with governance and Health and Safety.
  • Support with data gathering for Audits.
  • Participate in Pharmacy Research projects as required.
  • Dispensary duties including dispensing & final accuracy checking of items.
  • To support with core dispensary duties, including Bank Holidays and weekends.
