Patient Administrator and Booking Clerk

Department: Urgent and Emergency Care (UEC)

Band: 3

Hours: A mix of 8am‑4pm & 1pm‑9pm weekdays, as well as 9am‑7pm on weekends—on a rolling rota.

Interview date: Week commencing 26.01.2026

Probation: This post is subject to an initial probationary period of six months, extendable up to a period of 12 months.

DBS check: A DBS check may be required for new employees.

Responsibilities
  • Be the first point of contact for all visitors to the departments and greet in a friendly, helpful, and courteous manner.
  • Obtain, check, and register confidential information from all attending patients, including updating any changed patient details and escalating multiple MRNs to be merged by the back office, in conjunction with Data Protection guidelines.
  • Assist patients with the use of electronic systems such as E‑Triage and Prescription Payment Kiosks.
  • Deal with difficult, distressing situations and alert clinical staff to patients or situations which are cause for concern, e.g., chest pains, to access equipment urgently for patients until a nurse is alerted.
  • Undertake general organisation of paperwork and notes to maintain an organised department.
  • Deal with general enquiries via the telephone, and in person, including difficult and frequent emotional situations with patients, public, agencies, and staff, ensuring that patients and relatives always receive a welcoming professional and considerate approach and where appropriate redirect these to other departments and outside agencies.
  • Act independently without direct supervision, managing own workload and organising the day‑to‑day running of shift.
  • Induct, mentor, and supervise new administrative team members, ensuring adherence to departmental procedures and fostering ongoing professional development.
  • Empathise with vulnerable patients and people attending ED or SDEC who require language support or have any other disability or sensory needs.
  • Admit, transfer and discharge patients using the electronic patient record.
  • Answer the telephone, taking and delivering messages in an appropriate and helpful manner.
