Our client is seeking a Property Administrator to provide administrative support to the property management team, ensuring the smooth day-to-day running of residential and/or commercial properties. This role combines office administration with property management support and basic accounting duties, helping to deliver a high standard of service.
Key Responsibilities:
- You will act as the first point of contact for tenant, leaseholders, and contractors, handling enquiries promptly and professionally.
- Maintain accurate records of tenancies, leaseholder details, property compliance, and contractor documentation in the management system.
- Co-ordinate the service maintenance contracts (e.g., lifts, fire safety) to ensure completion within the contractual time frames.
- Arrange and track property inspections, safety checks (e.g., gas, electrical, fire), and maintenance works, liaising with both contractors and leaseholders.
- Assist with lease/tenancy agreements, renewals, and termination documentation in line with property legislation.
- Prepare correspondence, reports, and compliance documentation (e.g., Fire Risk Assessments, safety certificates).
- Provide administrative support for property handovers, move-ins, and move-outs.
- Assist the property manager with compiling of LPE1 and notice of charge enquiries.
- Support the property team in meeting service level agreements and regulatory requirements.
Office Administration
- Manage incoming calls, emails, and correspondence for the property team.
- Maintain filing systems (digital and paper) and ensure GDPR compliance.
- Support the wider office team with day-to-day administrative tasks.
Accounting Support
- Input invoices into the accounting system (Sage).
- Issue periodic service charge and ground rent demands to leaseholders.
- Assist with rent collection, arrears tracking, and issuing rent statements to tenants / leaseholders.
Skills & Competencies
- Strong organizational and multitasking skills with attention to detail.
- Excellent communication and customer service abilities.
- Proficiency in Microsoft Office (Word, Excel, Outlook) and some accounting software knowledge in Sage (desirable).
- Familiarity with property legislation, tenancy law, and compliance requirements (advantageous).
- Ability to work independently and as part of a small team.
- Attention to detail and accuracy in record-keeping.
- Ability to handle sensitive information with discretion.
Qualifications
- GCSEs (including Maths and English) required; A-levels or equivalent desirable.
- Previous experience in property management, lettings, Office administration or accounts support preferred.
- Knowledge of property management regulations and industry practices preferred.
Hours
- Office-based with potential site visits to properties.
- Part-time, 20-25 hours per week – flexible working hours to suit the right candidate. Example patterns include: 4 shorter days (e.g. 9.30am-2.30pm, ideal for school hours), 3 full days.
- A mix of mornings/afternoons across the week.
