Job description
The opportunity

We're looking for a highly organised and proactive Personal Assistant to support our Chief Financial Officer with a wide range of secretarial, administrative, and business tasks. In this dynamic role, you'll play a key part in keeping operations running smoothly - while also providing flexible support to other members of the Executive and PA teams when needed.

You’ll provide consistent, professional and confidential support ensuring work is delivered accurately and within a timely manner. You’ll adhere to Company standards of communication at all times and provide accurate, clear and supportive information. You’ll be approachable, flexible, honest and willing to challenge where appropriate and give constructive feedback. This role supports our CFO across both our Swindon Head Office, and our London Office (EC2M 3XD). This role is hybrid working, 2 days a week in the Swindon office with occasional travel to London.

Your responsibilities will include
  • Effective diary management and all associated arrangements to ensure the smooth running of schedules and optimum effectiveness of time, linked to the strategic priorities and including production of agendas, briefing materials, packs, travel, refreshments etc.
  • Monitoring and prioritising incoming mail / emails / calls on a daily basis, dealing, responding or redirecting as appropriate.
  • Preparing and producing presentations, correspondence and reports as required.
  • Maintaining control of budget and monthly expense claims for your relevant members of the Executive and Senior Management team and their direct reports, ensuring expenses policy is adhered to at all times.
  • Preparation of meeting materials as well as attending meetings to take the minutes where required.
  • Meeting and greeting visitors, giving them the best possible first impression at all times.
  • Supporting corporate events as required, including event organisation.
  • General filing and administration.
  • Working together with the wider PA team to ensure that all Exec members are given consistent support and cover at all times.
  • Ad-hoc support to other PAs and Exec as required.
What will you need to succeed?
  • Previous experience as a Personal Assistant, ideally within a Financial Services or related environment.
  • Excellent PC skills in all Microsoft packages, with accurate typing skills.
  • Strong grammar and vocabulary skills, with high level of attention to detail.
  • Well organised with great prioritisation skills, strong interpersonal and communication skills to deal with individuals at all levels.
  • Great telephone manner, dealing with internal and external stakeholders and customers.Ability to work on own initiative as well as part of a team.
  • Ability to work under pressure and to tight deadlines.
  • Flexibility in terms of working hours and travel where required, for this role frequent travel to London will be required.
