Job description

The Role

The team..

Based in Preston, the ITV Pensions team is at the heart of supporting our colleagues' futures. We're a close-knit, knowledgeable group responsible for the smooth day-to-day running of the ITV Pension Scheme - ensuring our members are supported every step of the way.

We bring expertise, precision, and a people-first approach to everything we do. Alongside managing all aspects of the Scheme, we work closely with the Trustees of the ITV DC Plan and partner with our administration provider to deliver a service that's not just efficient, but genuinely valued by our members.

It's a team where collaboration, care, and continuous improvement are part of the DNA - and where no two days are ever the same.

The role..

We're looking for an energetic and highly organised individual to join our team in a permanent capacity as our dedicated Operations Support, reporting directly to the PA & Pensions Support Manager.

This is a key role that sits at the heart of our operations, offering a great mix of responsibility, variety, and daily interaction across teams. You'll play a vital part in keeping everything running smoothly - from coordinating office processes and managing communications, to supporting both senior management and operational staff.

This isn't a role for the faint-hearted - it's fast-paced, deadline-driven, and requires someone who thrives on juggling priorities. If you're a natural multi-tasker with a sharp eye for detail, excellent organisation skills, and the ability to stay calm under pressure, we want to hear from you.

We're looking for someone with previous experience in a similar role who's confident using Microsoft Word and Excel, and has top-notch written and verbal communication skills. A professional phone manner and the ability to hit the ground running are must-haves.

Day-to-Day Responsibilities

  • Act as the first point of contact for incoming calls, emails, and general enquiries from our pension customers - prioritising and responding where appropriate
  • Manage all incoming and outgoing post
  • Use document imaging and our pensions workflow system for processing admin tasks and documentation
  • Provide hands-on support to management and contribute to a positive, efficient office culture
  • Organise meetings, prepare documents, and support with team logistics
  • Oversee office supplies and liaise with suppliers when needed
  • Maintain structured filing and archiving systems
  • Support new team member inductions
  • Help ensure the office environment is well-maintained and running smoothly
  • Liaise with stakeholders, managing agents, and the ITV Safety team when required

Skills you'll need (minimum criteria)

  • You will have experience coordinating a busy team in an office environment
  • You must have previous phone customer service experience
  • You'll have experience working on a variety of administrative tasks
  • You will need to be available to work in the office 5 days per week (this may be able to be reviewed later into employment)

Other things we're looking for (key criteria)

  • Exceptional written and verbal communication skills
  • Proven ability to thrive in a fast-paced, deadline-driven environment, staying calm and focused under pressure
  • Strong multitasking skills with the ability to manage a diverse workload accurately and efficiently
  • Previous experience in a similar administrative role, with excellent IT proficiency
  • Confident user of Microsoft Office, particularly Word and Excel
  • Meticulous attention to detail with the ability to work independently, meet deadlines, and stay organised
  • Professional and confident telephone manner
  • Excellent organisational and time management skills
  • Strong interpersonal skills, with the ability to build effective relationships with colleagues and stakeholders
  • Self-motivated and proactive, with a solution-focused mindset when managing competing priorities
  • Adaptable and level-headed, especially when dealing with unexpected challenges or shifting priorities
  • Process-driven, with the ability to identify and implement improvements to enhance efficiency and ways of working
