Onsite Coordinator

Location: Slough, Berkshire, United Kingdom.

Future relocation (2027): Windlesham, Surrey.

We’re looking for a Site Coordinator to work as part of a small, collaborative onsite team, supporting one of our key OneSource accounts. You will work closely with another Site Coordinator and the rest of our onsite team, sharing responsibilities and helping ensure that service operations run seamlessly each day.

NOTE: This role will be based at our customer site in Slough initially, with relocation to Windlesham, Surrey in 2027.

Coordinate service activity as part of a team
  • Work jointly with our other Site Coordinator to schedule and manage all equipment maintenance – from preventive to corrective work.
  • Share responsibility for tracking work orders in our systems, ensuring statuses are kept accurate and up to date.
  • Respond to emails, calls, and system requests, aligning with the team to ensure a consistent and timely customer experience.
Support strong communication across the site
  • Partner with your fellow Site Coordinator to communicate with customers, engineers, and vendors – ensuring clear, aligned messaging and reducing duplication.
  • Help manage updates, handovers, and service timelines so everyone on site has the information they need.
  • Provide support during vendor visits, including coordination, documentation checks, and escorting responsibilities when required.
Share vendor management and procurement tasks
  • Jointly handle vendor coordination — requesting quotes, scheduling activity, following up on outstanding work, and ensuring documentation is complete.
  • Confidently challenge vendors when needed.
  • Assist with raising purchase requisitions and purchase orders, working with your teammate to split and organize procurement tasks efficiently, when required.
Maintain accurate equipment and service records
  • Collaborate with the team to track equipment adds, changes, and removals across customer and internal systems.
  • Ensure service entitlement, coverage, and documentation are accurate and complete.
Contribute to a culture of continuous improvement
  • Work with your fellow Site Coordinator and site team to identify workflow improvements and enhance the customer experience.
  • Share insights, flag potential issues early, and help drive resolutions collaboratively.
What we’re looking for

Experience that helps (but not essential)
  • Previous experience in service coordination, scheduling, laboratory support, or a similar operational role.
  • Experience using service management or scheduling systems.
  • Working knowledge of equipment service processes within technical or regulated environments.
Skills
  • Strong MS Office skills, particularly in Excel.
  • Confident written and spoken English.
  • Ability to write clear, professional emails and communicate effectively with customers, vendors and internal teams.
