Qualifications

Responsibilities

  • Own and execute the full customer onboarding process.
  • Serve as the specialist for the Assembly onboarding platform.
  • Coordinate information gathering and manage client expectations.
  • Collaborate with Sales, Technical, and Compliance teams.
  • Maintain all client onboarding data and documentation.
  • Provide administrative support for project setup.

Location: Panama (Remote)

Salary: $20,000 - $22,000 (DOE)

We are looking for a dynamic Onboarding & Project Support Assistant to drive successful client activation and ensure the smooth mobilisation of essential operational projects.

About the Role

We are seeking a highly motivated and meticulously organised Onboarding & Project Support Assistant to be a central pillar in our customer success journey and internal operational delivery. This role sits at the intersection of client experience and project coordination, ensuring new customers are set up for success and that internal projects are mobilised efficiently.

Reporting to the PMO Lead, you will play a crucial role in maintaining the high standards of service and trust for which Cognisys is known.

Key Responsibilities
  • End-to-End Onboarding Management: Own and execute the full customer onboarding process following contract sign-off, ensuring a seamless transition into service delivery.
  • Platform Expertise: Serve as the specialist for the Assembly onboarding platform, customising, managing, and optimising workflows and communication streams to accelerate client compliance and security goals.
  • Stakeholder Co-ordination: Act as the primary point of contact for new clients, proactively coordinating information gathering, scheduling kick-off meetings, and managing expectations.
  • Cross-Functional Collaboration: Work closely with our Sales, Technical, and Compliance teams to ensure all client requirements are met, and internal handovers are executed without friction.
  • Record Keeping: Ensure meticulous maintenance of all client onboarding data and documentation within the CRM and associated internal systems.
  • Project Setup and Initialisation: Provide essential administrative support to Project Managers, facilitating the swift set-up of new client and internal initiatives within our project management tool.
Requirements
  • Proven Track Record: Demonstrable experience in an administrative, coordination, or support function within a fast-paced professional environment.
  • Exceptional Organisation: Outstanding organisational skills, a methodical approach to work, and a demonstrable attention to detail.
  • Communication: Excellent written and verbal communication skills, with the professional acumen to engage effectively with high-level clients and internal teams.
  • IT Proficiency: High proficiency in Google Workspace (Docs, Sheets, Slides, Gmail, Calendar) and a high degree of comfort in learning and mastering new software platforms.
  • Proactivity: A proactive, "can-do" attitude and the ability to manage competing priorities and deadlines with limited supervision.
