Job Description

The Office Manager plays a varied role in ensuring the smooth, day-to-day running of the office. The role is to create and maintain a pleasant working environment, ensuring high levels of organisational effectiveness, communication and safety. The Office Manager will have contact with all levels of internal staff and clients and visitors. Reporting to the Director, Office Management.

12 Months Cover (FTC)

Your primary responsibilities will include:
  • Oversee the day-to-day running of the Reception area, including client meet-and-greet, visitor bookings, handling incoming calls and mail, and managing refreshment orders and office supplies.
  • Coordinate the Shard building inductions for Jellyfish staff.
  • Act as the primary point of contact for all office-related enquiries, ensuring a smooth and supportive experience for employees and visitors.
  • Maintain a clean, safe, and secure office environment at all times.
  • Manage relationships with external service providers, including cleaning, security, and maintenance teams.
  • Support the People Team with onboarding and offboarding processes.
  • Organise team socials, client lunches, and other ad-hoc engagement initiatives.
  • Plan and coordinate internal and external events, ensuring seamless execution.
  • Manage meeting room calendars to prevent scheduling conflicts for events, pitches and training.
  • Liaise with the IT team to ensure all office technology and equipment needs are met.
  • Ensure the office complies with the Shards building policies and procedures.
  • Support the maintenance and monitoring of Jellyfish's ISO management systems, including Health & Safety (ISO 45001), Information Security (ISO 27001), and Environmental Management (ISO 14001).
Qualifications:
  • Experience in office management or administrative support.
  • Proficient at managing time, multiple tasks, and prioritising effectively.
  • Experience with customer interactions, both by phone and in person.
  • Google Workspace proficiency
