Job summary

Forvis Mazars is seeking an Administrative Assistant to support Partners with diary management and front-of-house service in a dynamic office environment. About The Team

The Business Support team is here to ensure the smooth running of the office, providing seamless, effective, and proactive administrative support. We continually seek ways to make full use of technology to improve processes and efficiency, promoting agile ways of working and reducing reliance on paper.

About The Role

  • Provide effective diary management support to Partners, including:
    • Scheduling internal and external meetings, ensuring meeting-specific requirements are met, and liaising with stakeholders as necessary.
    • Understanding technical requirements (MS Teams) for virtual meetings.
    • Supporting with meeting clashes and proactively reviewing Partners' diaries.
  • Assess the effectiveness of processes and procedures, reporting back to the London Office Support Manager.
  • Seek ways to utilize technology to improve processes and promote agile working, reducing paper reliance.
  • Develop effective working relationships with Partners and Managers to understand their needs and offer solutions.
  • Manage the room booking tool for London, ensuring optimal utilization of office space.
  • Deliver exceptional front-of-house service.
  • Support day-to-day facilities operations to maintain a welcoming, clean, secure, and safe environment.
  • Assist the London Office Support Manager and Facilities Manager as needed.
  • Conduct Right to Work checks for new joiners and facilitate onboarding, including health and safety considerations.
  • Provide basic IT troubleshooting and escalate issues when necessary.
  • Support switchboard operations.
  • Organize local office events with the London Concierge and events team.
  • Manage post and courier services in the office.

  • Flexibility and ability to work under pressure, managing conflicting priorities and expectations
