Job summary

A recruitment agency is seeking an Office Administrator / Operations Support to manage incoming calls, maintain job notes, and assist the Operations Director. The ideal candidate will have prior admin experience, strong communication skills, and proficiency in Microsoft 365. This position offers a salary between £25,000 and £30,000. Experience with client portals (e.g. BigChange)

Overview

Job Title: Office Administrator / Operations Support

Location: Caterham (relocating to Godstone at the end of the year)

Hours: Monday to Friday, 8:00am - 5:00pm

Salary: £25,000 - £30,000 (DOE) + pension

Responsibilities
  • Handle incoming calls, take clear messages, and escalate urgent matters.
  • Input and update data in client portals, CAFM systems, and internal job management systems.
  • Maintain live job notes, send client updates, and chase approvals or purchase orders.
  • Raise and track purchase orders, order materials to specification, and arrange couriers/collections.
  • Monitor task tracking for job progress, costs, and parts.
  • Support the Operations Director with scheduling, permits, RAMS, and Health & Safety documentation.
  • Keep shared inboxes organised, filing invoices, quotes, delivery notes, and correspondence.
Skills & Experience
  • Previous admin or operations support experience.
  • Proactive and confident working independently.
  • Strong written and verbal communication skills, with a clear phone manner.
  • Highly organised, detail-focused, and able to multitask.
  • Fast, accurate data entry; confident using multiple systems.
  • Proficient in Microsoft 365 (Outlook, Word, Excel); quick to learn new software.
  • Experience with client portals, CAFM/job management systems (e.g. BigChange) - desirable.
  • Knowledge of basic purchasing (raising POs, matching invoices/delivery notes) - desirable.
  • Full UK driving licence - desirable.
