Main Duties and Responsibilities
- note patient arrivals, deal withpatient enquiries, make appointments
- By telephone, make and cancel appointments, deal withpatient queries
- processing correspondence including scanningletters, results, reports etc and work flowing to appropriate GPs.
- Ensure emergency calls are dealt with promptly andefficiently
- Answer queries from patients regarding related healthdocumentation and help patients with difficulties to complete requireddocumentation, e.g. for registration.
- All reception/admin staff are required to be able to usethe practice Emis and Docman computer system, scanner and photocopier. They alsomust be fully conversant with the practice telephone system and be able toput calls on hold, divert calls and take messages as appropriate.
- Receptionists require to communicateeffectively with patients, visitors, doctors, health visitors, communitynurses and other NHS staff based at the hospital, i.e. consultants, secretariesand admin staff. They need to be able to demonstrate understanding of patientswith multiple problems who may have difficulty in communicating with themand also be able to cope with the ever demanding patient.
- Ability to work without direct supervision and determineown workload priorities together with being able to multitaskefficiently.
- Ability to work within a team structure.

Cotswold Medical Practice comprises of two surgeries, one atMoore Health Centre in Bourton in the Water and the other at Westwoods surgeryin Northleach.
Job responsibilities
The following are the core responsibilities of the Medical Receptionist. There may be onoccasion, a requirement to carry out other tasks; this will be dependent upon factors suchas workload and staffing levels.
- Maintain and monitor the practice appointment system in EMIS
- Process personal, telephone and electronic requests for appointments
- Answer incoming phone calls, transferring calls or dealing with the callers requestappropriately
- Signpost patients to the correct service
- Process incoming and outgoing mail
- Initiate contact with and responding to, requests from patients, team members andexternal agencies
- Process all DNA letters in accordance with current policy
- Read code data on EMIS
- Photocopy documentation as required
- File and store records as required
- Data entry of new and temporary registrations and relevant patient information asrequired
- Input data into the patients healthcare records as necessary
- Scanning of patient related documentation and attaching scanned documents topatients healthcare records
- Manage all queries (including administrative queries) as necessary in an efficientmanner
- Monitor and maintain the reception area and notice boards
- Support all clinical staff with general tasks as requested
- Maintain a clean, tidy, effective working area at all times
Person Specification
Qualifications
- Experience working in an administration role.
- Experience working with patients / customers over the telephone
- Skills & competencies normally associated with relevant administration experience.
- Proficient knowledge and experience of Microsoft Office Packages
- Excellent keyboard/IT skills
- Excellent oral and written communication skills and manner
- Ability to communicate effectively with staff and patients over the telephone
- Commitment to delivering a high-quality patient experience.
