To assist the lead on required inventory systems usingspecialist storage projects ensuring that all catalogue and non-cataloguestock is managed in line with the departments requirements. ToLine Manage all materials management staff across wards and within theatresat the Leeds General Infirmary. You will assist on managing both Supply X andOracle requisitioning on behalf of the Theatres and Anaesthetics ClinicalService Unit. You will supervise a team of 8 Materials Management Assistants,reporting into an Inventory Supply Chain Manager. You would support on appraisal, 1:1s andreviews, absence management and Health& Safety requirements for your areas. You would support on attendance managementand strive to look after the health & wellbeing of your team, this mayinclude carrying out individual & team stress risk assessments andoccupational health reports where required, or signposting to an appropriatesupport network.
MaterialsManagement is the service providing medical equipment and supplies direct towards and theatres and therefore everything we do has the patient at thecentre. There is a strong team requirement, and you will not only workalongside your Materials Management colleagues, but also clinical colleaguesin the Theatres setting, building a rapport with Ward Managers. This mayoften require diplomacy and conflict & resolution skills. Supplies formspart of the Procurement department (a group made up of over 150 individuals).We all ultimately report into the Director of Commercial & Procurement.Procurement sits under 'Finance' in the greater Trust, which includes afurther 300+ colleagues. Ensurethat the Trusts procurement is undertaken in accordance with theorganisations Best Practice and Financial Standing Instructions.
Providesa Materials Management/Storekeeper service to a designated number of Wards,Theatres and Departments.
Ensuresstock/deliveries are receipted/maintained at the appropriate level using handheld data capture devices, and the receipting and putting away of stock toagreed standards.
Providesa comprehensive interface for customers who receive a Materials Managementservice.
Tosupervise and manage the administrative support required for each of theSupplies IT Systems.
Theposition forms part of a team up to seven Whole Time Equivalents (WTE),providing a Materials Management and Stores service for a range of medicaland non-medical goods. Whilst there is no direct budget management the postholder will be expected to understand the Trusts budgeting process and theallocation of cost mechanism.
Thedepartment is targeted with cash releasing targets in excess of £2m per annumand the post holder will be expected to significantly contribute in meetingthis target.
Itis expected that a significant reduction in the levels of inventory that theTrust currently holds can be achieved through a collaborative approachbetween purchasing and materials management.The post holder will work closely with the Supply Chain Manager toachieve this goal.
Toparticipate in meetings with clinical staff, for regular reviews and tosupply urgent medical products/data, when required.
Identifythe needs of the organisation and working within the guidelines of theTrusts Standing Financial Instructions.
Tosupervise the staff who provide a Supplies receipting/distribution andMaterials Management services to Wards, Theatres and Departments. Worksindependently for most of the time, referring to the Assistant Supply ChainManager/Specialist Inventory Supply Chain Manager only when necessary. Ensuregoods are marshalled within Stores/wards & theatres for an effectivereceipting/distribution and Materials Management Service.
Introducesnew policies as directed by the Assistant Supply Chain Manager/SpecialistInventory Supply Chain Manager into work areas, feeds back on areas ofdifficulty, and suggests improvements to support best practice.
Planand organise the Materials Management Assistants/Storekeepers work schedules,adjusting work plans as necessary.
Managethe day to day functions associated with the Trusts computerised inventorycontrol systems and assist in the development of new technology.
Liaiseswith suppliers to encourage them to meet organisational purchasing needs andpersuades customers to adopt the most efficient, cost effective and value formoney supply route.
Tosupport the Assistant Supply Chain Manager/Specialist inventory Supply ChainManager in the review of inventory and the range of stock to be carried bythe organisation.
Ensurethat the stock is purchased against the re-order level reports to agreedquality standards.
Procurementof goods from NHS Logistics, Prime Wholesalers and External Suppliers toprovide value for money and best commercial advantage.
Themoving, handling, distribution and storage of goods to the appropriateMaterials Management department as required.
Responsiblefor the security of goods during the receipting process and the putting awayof stock to agreed locations in accordance with agreed standards.
Participatesin formal audits of materially managed areas.
Resolvesstock issues, including stock deficiencies and prioritises urgent deliveries.
