Job description
Job Summary

Main Purpose: To provide management support to the partnership and senior managers. To provide quality and clinical governance administration support to the partnership and senior managers. To monitor, manage and maintain effective processes within areas of responsibility, resolving issues as appropriate.

Key Tasks
  • Quality Assurance and Clinical Governance Administrative Support: run and manage full cycles of audits, collate and write results, report backlogs, set up new audits, and run at least four QI cycles each year.
  • Significant Events: collate events, ensure discussion at meetings, disseminate system or process changes, conduct bi‑annual reviews to identify themes and report to senior managers.
  • Safety Alerts: collate alerts, log them on the spreadsheet, disseminate changes, present at monthly meetings for GPs and nurses.
  • Complaints: handle simple verbal complaints, log all complaints, develop skills to manage complex complaints, conduct quarterly reviews and report to senior management.
  • Quality and Outcomes Framework (QOF): support partnership in managing and implementing QOF, roll out recall systems, monitor system robustness with the operations manager.
  • GP Extended Access and ARI Hub: serve as admin lead, monitor service provision, manage IT issues and patient record access queries, and ensure effective communication with the practice team.
  • Other Admin Tasks: provide coverage for absences, assist with extraordinary workloads, respond to IT support requests, log calls with the NEL IT service desk, and participate in general administrative duties.
Health & Safety

Assist in promoting and maintaining health, safety and security per the practice policy, including using personal security systems, identifying and managing risks, maintaining tidy work areas, reporting hazards immediately, participating in annual infection control training, and documenting potential risks.

Communication

Recognise the importance of effective communication within the team and with patients and carers, respond to alternative communication methods, and mainly receive instructions via the practice manager.

Confidentiality

Maintain strict confidentiality of patient, carer, staff and business information, disclose only to authorised persons in accordance with practice policies and procedures.
