Andy File Associates is acting as a recruitment agency on behalf of our client with regards to this 6 months Fixed Term Contract position.

Job Title: Maintenance Coordinator Engineer – Sheffield, full time

Reports To: Operations Manager

Working Hours: 40 hours per week or 32 hours considered over 4 days; 7-3 Mon to Thursday and 7-1:30 Friday

Main Purpose and Scope of Job

This role will support the planning, coordination and delivery of all operational activities that ensures the satisfactory completion of planned and reactive maintenance works. You will coordinate a wide range of maintenance activities across a variety of client premises, maintain accurate client records and build strong working relationships with clients, suppliers and contractors while delivering excellent customer service. It is expected you will develop a solid knowledge of building systems.

Key Responsibilities
  • Develop and maintain the TPM/PPM system for key items of plant, equipment or premises in conjunction with the site operations manager.
  • Carry out any other PPM weekly maintenance/inspection or minor repairs to plant, equipment or premises.
  • Maintain spare parts and tool stock as required.
  • Participate in on site operational, H&S and environmental meetings as required.
  • Ensure all work undertaken is done via the company safety rules and procedures including the undertaking of risk assessments, method statements, safe systems of work and safe lock off procedures.
  • Be aware of incident reports and work with operational managers to promptly implement solutions to prevent re-occurrence.
  • Action incoming enquiries from suppliers and contractors and process them in a timely manner.
  • Actively participate in staff development and training initiatives.
  • Assess the job requirements and dispatch engineers or subcontractors in time with the required SLA (Service Level Agreement).
  • Issue and monitor permit to works for all contractors attending site.
  • Process and diagnose internal requests and where required raise works orders to contractors through the FM system.
Communication
  • Maintain good communication and report directly to the relevant team members on a daily basis.
  • Liaise with the suppliers and contractors to request the supply of goods and/or services as necessary.
  • Report any PPM defects to the client in a clear and effective way with the necessary urgency.
Working Relationships

Maintain professional relationships with colleagues, managers, external contractors and all clients.

Policies and Procedures
  • Must work in accordance with Company policies and procedures.
  • Must strive to maintain a high level of knowledge of building regulations and approved codes of practice.
Administration
  • Liaise with staff, contractors and suppliers to ensure that accurate information is stored correctly on the TPM system.
  • Update TPM systems with service contract information and documents.
  • Update TPM systems with contractor service records, inspection records and statutory documents.
  • Ensure asset registers are up to date and maintained.
  • Prepare reports for management as and when required.
  • Administer approved supplier process and update systems with supplier documentation.
  • Attend team meetings and complete all necessary paperwork as instructed by management, complete mandatory training and development courses, and work in line with all relevant policies and procedures.
Additional Duties
  • Keep updated on all matters relating to Company policy.
  • Provide supervision where necessary.
  • Any other duties as delegated by the Line Manager.
