What You'll Be Doing
  • As a Maintenance Planner you will assist the area Mechanical and Electrical (M&E) Maintenance function with administration, organisation, planning and scheduling of work on M&E assets and systems, liaising with operational functions within the business to provide support and maintain communication.
  • You will be the point of contact for administrative support for the team, handle telephone enquiries where appropriate and raise purchase orders and work orders, as well as completing data entry for work programming and reports.
  • As part of your role, you will support the local M&E Technicians with administration, vehicle compliance, PPE requests, tools and equipment ensuring efficiency of maintenance is achieved.
  • Monitor inboxes and workflow queues and assist in dealing with operational customers when appropriate.
  • Liaise with relevant departments in SWW to provide support and maintain effective communication.
  • Work order creation and allocation, assisting the Area Maintenance Manager with scheduling of responsive and planned workloads.
  • Work with the M&E Regional Maintenance Manager and Area M&E Maintenance Manager to maintain accurate reports and ensure SLAs are met, ensuring all records are maintained and kept up to date.
  • Manage the vehicle fleet for the designated area, to ensure the vehicles are compliant with South West Water Transport policies and procedures.
  • Arrange meeting venues, hotel, travel, and vehicle hires through the agreed Procurement procedures and systems as required by the management team, raise purchase orders for suppliers, M&E Supply Chain and enter receipts for deliveries.
  • Deal with field, depot and administration requests including ordering materials and consumables.
  • Take minutes of meetings as and when required as well as recording actions. Meetings may be at various venues across the area and there will be occasional requirement to travel to these locations.
  • Provide cover for other areas as and when required during absences.
  • Run routine and ad hoc reports as directed by area Management Team and distribute as required.
Requirements
  • Minimum 5 GCSEs at grade C or above, including Mathematics and English.
  • Proven experience of working in a busy office environment.
  • Proven track record of working to deadlines.
  • Previous experience working on own initiative and/or working as part of a team.
  • Good, solid administration skills including knowledge / experience of computerised file management/ICT skills.
  • Ability to manage high workloads and organise logically and methodically.
  • Ability to work under pressure and maintain a high level of accuracy and attention to detail.
