Responsibilities

  • Manage office maintenance and premises administration.
  • Liaise with building management and contractors.
  • Update and renew office maintenance contracts.
  • Arrange access control and manage office keys.
  • Process expatriate staff matters efficiently.
  • Assist with various tasks in the General Affairs department.

JapanesespeakingFacility/AdministrationOfficer-Responsibilities:

  • TomanageallaspectsofofficemaintenanceandpremisesadministrationmakingsureallHealthandSafetyissuesarecoveredandsorted.
  • Liaisingwiththecompany’sappointedbuildingmanagementcompany,coordinatingrelevantcontractor/engineer,andattendingtenants’meetings.
  • Toupdateandrenewtheofficemaintenancecontractanddealingwithanyissuesarisingfromtheleaseandlandlordissuessuchasrent,tenancyagreement,etc.
  • Toarrangeappropriatephysicalaccesscontrolincludingissuing/deletingtheaccesscontrolcards/badgesandmonitor/updatetheaccesscontrolsystem.
  • Toorderstationery,andanyothersuppliesrequiredforthecompanyandstaffandensurethatstocksdonotrunlowandthattheitemsarestoredaway.
  • Toarrangeexternalstorage.
  • Tomanagethekeysoftheofficeincludingimportantones.
  • Toensureexpatriatestaffmattersareefficientlyprocessede.g.immigrationprocedures,induction,thesecuringofaccommodation,rentarrangements,medical,andotherissues.
  • ToassisttheexpatriatestaffintheGeneralAffairsdepartmentwithvarioustaskswhichmayincludereportstoHeadOffice,photocopying,binding,filingetc.

JapanesespeakingFacility/AdministrationOfficer-Requirements:

  • FacilityManagementjobexperienceinJapanesecompany
  • ProductexperienceinConferencesystem,lighting,officefurniture,accessmanagementsystem,electricityarrangement,airconditioning,etc.
