As part of a large, collaborative and high‑performing team, you will play a vital role in enabling a safe, compliant and efficient workforce onboarding process for one of the UK’s most significant infrastructure projects.

About the role:

We are looking for a proactive and highly organised HR Administrator (Vetting) to support the HR function and on‑site project teams. You will be responsible for administering security vetting, right‑to‑work checks, visa support and other compliance processes, ensuring that all workers join the project smoothly and in line with legal and project requirements.

This is an excellent opportunity for someone with strong administration and people skills who thrives in a fast‑paced environment and enjoys supporting others.

Key Responsibilities
Security Vetting
  • Guide employees and agency workers through the vetting process, providing clear communication and support.
  • Verify identity documents and prepare submissions for vetting partners.
  • Liaise with third parties for academic checks and qualification conversions.
Visa & Immigration Support
  • Work with overseas group companies to gather documentation for visa submissions.
  • Coordinate with Immigration Advisors to progress visa applications.
  • Ensure compliance with UK right‑to‑work legislation, including regular file audits.
Onboarding & Integration
  • Act as the first point of contact for visitors, new starters and agency workers arriving on site.
  • Support onboarding activities such as arranging IT equipment, medicals and site access.
  • Assist with the integration and ongoing support of all employees, including international workers.
General HR Administration
  • Handle incoming enquiries and provide professional, timely responses.
  • Draft contracts, issue employment documents and update internal systems.
  • Manage pre‑boarding tasks (IT, fleet, medical bookings, etc.).
  • Process changes to terms and conditions.
  • Maintain accurate HR records, ensuring confidentiality and GDPR compliance.
  • Triage the Vetting inbox.
What We’re Looking For
Our ideal candidate will have:
  • Strong administration and data entry experience (essential).
  • Previous experience in an HR administration role (preferred).
  • Excellent communication and customer‑facing skills.
  • Excellent organisation skills and exceptional attention to detail.
  • The ability to build effective relationships at all levels.
