Healthcare & Public Sector Executive Assistant - Full-Time | Newcastle upon Tyne

Supporting Partners in a Leading Commercial Team

A long-established full-service law firm based in Newcastle is seeking an experienced Executive Assistant to join its respected Commercial Department, providing high-level support to partners and senior stakeholders working with healthcare and public sector clients. With over 210 colleagues and a 125-year heritage, the firm is recognised for delivering partner-led advice and exceptional client service to businesses across the UK.

This is a unique opportunity for a proactive, organised and relationship-driven individual to join a dynamic and collaborative team with strong ties to the NHS and wider public sector.

The Commercial Team

The successful candidate will support senior members of the Commercial Team.

The department is busy, friendly and highly collaborative, offering a genuine Newcastle-based culture often preferred over larger national firms.

About the Role

This role will suit a professional EA or senior PA who enjoys a mix of administrative excellence, project coordination, relationship management and business development support.

Key responsibilities include:
Partner & Team Support
  • Acting as the primary point of contact between fee-earners, internal teams and external stakeholders
  • Providing diary and inbox management, meeting coordination and proactive organisational support
  • Supporting cross-departmental collaboration on NHS-related initiatives
Business Development & NHS Relationship Support
  • Assisting with tender submissions, framework applications and bid coordination
  • Monitoring public-sector procurement portals and identifying opportunities
  • Supporting business development initiatives and relationship-building with intermediaries and senior NHS stakeholders
  • Preparing briefing digests by monitoring healthcare sector news (e.g., Health Service Journal, GP publications)
Operational & Compliance Support
  • Managingclient onboarding, due diligence and compliance requirements
  • Ensuring accurate reporting and billing for healthcare and public-sector clients
  • Developing and maintaining internal systems and processes
  • Handling general administrative duties as required
Candidate Profile

The ideal candidate will bring a blend of EA capability, sector awareness, and strategic thinking.

Essential
  • Strong PA/EA background, ideally from a professional services environment
  • Excellent organisational skills with a methodical, proactive approach
  • Ability to manage multiple deadlines independently
  • High level of professionalism and understanding of confidentiality
  • Strong communication skills (verbal and written)
  • Advanced IT proficiency (Microsoft Office, online portals, CRM systems)
Highly Desirable
  • Experience working within the NHS, an ICB, NHS Trust or similar public-sector body
  • Experience in a law firm supporting NHS-related work
  • Familiarity with tendering, procurement or bid-management processes
  • Experience managing complex client compliance and due diligence
