The Workplace Coordinator will be responsible for overseeing the daily operations and facilities management at Velux Head Office UK in Glenrothes. This role is pivotal in ensuring that the office environment is maintained to the highest standards, providing a clean, safe, and well-functioning workplace for all employees. The successful candidate will manage the housekeeping teams, coordinate reactive maintenance activities, and ensure that Planned Preventive Maintenance (PPM) schedules are completed efficiently and on time.

Job Description

Acting as the primary point of contact for all facilities-related matters, the Workplace Coordinator will liaise with internal stakeholders, contractors, and service providers to deliver a seamless facilities service. The role combines hands-on maintenance responsibilities with strong organisational and coordination skills, supporting the Key Account Manager with initiatives that enhance the workplace environment while ensuring compliance with health and safety regulations.

Responsibilities
  • Supervise and coordinate housekeeping teams, ensuring high cleaning standards.
  • Manage reactive maintenance works, prioritising tasks and liaising with contractors.
  • Perform minor repairs and general handyman duties as required.
  • Develop, maintain, and monitor Planned Preventive Maintenance (PPM) schedules. Act as the primary contact for all facilities-related enquiries and issues.
  • Monitor and manage the facilities budget to ensure cost-effectiveness.
  • Ensure compliance with health and safety regulations and conduct risk assessments.
  • Provide regular updates and reports on facilities management performance.
  • Support the Key Account Manager with workplace projects and initiatives.
Qualifications
  • Proven experience in facilities management, particularly housekeeping and hard services.
  • Strong organisational and time-management skills, able to manage multiple priorities.
  • Excellent communication and interpersonal skills.
  • Familiarity with health and safety regulations and best practices.
  • Understanding of PPM scheduling and reactive maintenance processes.
  • Basic knowledge of building systems and maintenance requirements.
  • Proficiency in facilities management software and tools.
  • IOSH or NEBOSH certification desirable but not essential.
