What you'll do
Reporting to the Head of Fleet, this role will provide advice and guidance for all legal compliance of the hub transport department. Through ensuring the company, fleet meet all legal requirements under the Road Traffic Act, EU regulations, Construction & use Regulations and Operators licence requirements. To provide, monitor and deliver all compliance administration to an exceptional standard to ensure Road Transport Compliance. To provide local Engineering and maintenance support to ensure roadworthiness and fleet availability to meet operational requirements.
Key Role Responsibilities
- Managing an on-site fleet of up to 300 vehicles and a multi-site fleet of up to 3800 trailers during Peak Periods.
- Implementing and maintaining systems and procedures to ensure fleet and driver compliance.
- Ensuring vehicles and trailers are roadworthy, manage service providers; ensuring defects, service inspections and MOT's are carried out in accordance with maintenance agreements.
- Ensuring forward planning, MOT and Service slots ahead of time so as not to affect overall fleet availability to the operation.
- Investigating vehicle and trailer damage trends to find root cause. Feeding back to the operation with detailed analysis and recommendations.
- Investigating accident trends and providing recommendations to the operation with suggestions on improvements and repair reductions.
- Retrieval of costs for repairs under the driver negligence terms as well as Third party ULR claims.
- Maintaining and overseeing fleet systems not limited to - Isotrak, YMS, and Trailermaster systems and administer training to the rest of the transport team.
- Attending on site Health and Safety Meetings representing the fleet department, raising and taking, and completing actions when required.
- Providing updates to management team Weekly and Monthly highlighting non-compliance and remedial actions.
- Keeping up to date with any legal changes that may occur and advising the company accordingly as well implementing those in scope.
- Maintaining vehicle filing system accurately and to Operators Licence standards. Ensuring all vehicle defect notes are completed correctly and service documentation has been received from third party contractors. Auditing this per quarter as a minimum.
- Planning and preparation the hiring, de-hiring, and maintenance of additional resource for the peak period, including O Licence compliance, servicing, and defects.
- Maintain and deliver a high OCRS score.
- Fitting tracking equipment and devices to relevant spot hire equipment.
- Compiling, analysing and publishing KPIs and statistical reports to the Transport Senior Team.
- Owning the repair and maintenance costings, invoices, and department finances, including budgeting and forward projections on repair costs.
- Managing PAYGO and contract maintenance approaches.
- Robustly challenging suppliers on repair costs and invoices when required.
- Communicating with key stakeholders regarding any disruption to fleet availability/assistance required in maintaining service agreements.
- Organisation and leading Fleet supplier stakeholder meetings and minutes, including service level performances and KPIs adherence. Performing MOT failure investigations.
- Ensuring the induction of Technicians employed by third party contractors is completed up to minimum standards by completing regular audits.
- Technician and supplier employee site inductions and SWP, RAs, HOT work permits etc are completed.
- Monitoring and managing workload for third party contractors via the use of reports and communication with Hire and maintenance providers.
- Organising and obtaining quotes for any ad-hoc work required for the fleet including major and minor repairs.
- Monitor and manage off site parking locations.
- Peak fleet supplier communication for collections and onboarding.
- Ensuring that operational procedures and general housekeeping are kept to a high standard.
- Maintain site refuelling & fleet cleaning infrastructure to ensure safe working condition and adequate fuel supplies in place.
- Supporting Driver accident and incident investigations from a fleet perspective.
- Site point of contact for DVSA inspections and enquiries.
- Provide regional depot support as required.

What We're Looking For
- Full UK Driving license, including C+E.
- National CPC Holder.
- LGV Engineering experience and qualified.
- Management experience within fleet and engineering department.
- IRTE MSoE member.
- Microsoft Office competent - Excel, Word, Outlook.
- Super User experience of Transport Systems - Axscend, Tachomaster, Isotrak, TMS, 3rd Party Service systems desired.
- Good time management and prioritisation skills.
- Have an enthusiastic, pro-active, hands-on approach to the job.
- Work well under pressure, have a methodical attitude and be able to meet deadlines.
- Natural leader with strong people skills.
- Able to use own initiative.
- To show flexibility in working hours to ensure all tasks are completed.
- Ability to communicate effectively with Key internal stakeholders up to Director level, external & 3rd Party contractors, corporate suppliers, insurance and immediate team.
