Job description

As a Facilities Advisor, you will play a pivotal role in supporting the day-to‑day operations of our global office environments. Reporting to the Facilities Manager, Europe, you will be responsible for coordinating facility services, office maintenance, vendor management, and space planning across multiple international sites. Operating within a fast‑paced, high‑security environment, you will ensure that all locations are safe, efficient, and aligned with company policies, security protocols, and regulatory standards. You’ll collaborate closely with internal teams such as IT, Security, HR, and Legal to support business continuity, optimise workplace experience, and maintain physical infrastructure that supports a distributed and security‑conscious workforce. This is an ideal role for a proactive, detail‑oriented Advisor with a passion for operational excellence, a strong understanding of workplace compliance, and the ability to manage multiple tasks across time zones.

Key Responsibilities
  • Coordinate day‑to‑day facility operations across global offices, including maintenance, office supplies, vendor services, and space utilisation.
  • Maintain accurate records of facility assets, floorplans, and vendor contracts using internal tools and systems.
  • Ensure all offices comply with local health, safety, environmental (HSE), and security standards.
  • Assist in planning and executing global office moves, space reconfigurations, and small construction or renovation projects; ensure relevant stakeholders are engaged.
  • Collaborate with cybersecurity and physical security teams to align facility access and protocols with organisational security standards.
  • Help manage facilities‑related budgets, track expenses, and support procurement of goods and services.
  • Deliver comprehensive building inductions for new starters, ensuring awareness of health and safety procedures, access protocols, and facility‑related processes.
  • Maintain accurate and up‑to‑date documentation, including RAMS (Risk Assessments and Method Statements), statutory logbooks, and compliance records in line with regulatory and company standards.
Qualifications
  • Previous experience of working in Facilities Management.
  • Experience in managing a range of FM operations, including day‑to‑day maintenance, office moves and space reconfigurations.
  • Experience in Contractor Management (Hard and Soft Services).
  • Health and Safety Knowledge (IOSH/NEBOSH) or willingness to learn.
  • Highly organised, with a proven track record in managing facilities‑related documentation, including RAMS, statutory records, and compliance files. Competent in tracking budgets, supporting procurement processes, and maintaining accurate records to support efficient facility operations.
  • Demonstrates a proactive attitude, regularly identifying and addressing maintenance needs to sustain an optimal office environment.
