Job description

An enormously successful and inspirational UHNW Entrepreneur & Philanthropist with offices in the States and homes all over the world is looking for a seasoned Executive Private PA. She has extremely high standards, is exceptionally busy, highly intelligent and very generous.

The successful candidate will be based in Mayfair but will be travelling with the principal all over the world for approximately 3 months of the year, spread over several trips.

Core hours are 8am – 5/5.30pm, and there will be access outside hours and weekends. There are down times over the course of the year, depending on her diary

This role will suit a seasoned Private PA without ties.

Excellent opportunity for an Executive Personal Assistant based in London, to provide administrative and operational personal support to this UUHNWI. Confidentiality is an essential element of this role. The successful candidate is highly trusted with sensitive and private information. This role requires a calm, polished, and proactive individual who thrives in a fast-paced environment and always maintains impeccable standards.

The principal has a senior EA based in the US, and her husband has a senior EA/Private PA also based in the States. The candidate would be working closely with both who are VERY collaborative.

MAJOR DUTIES AND RESPONSIBILITIES
  • Heavy calendar management, accounting for day-to-day meetings and movements, both business and personal.Exercise discretion in committing time and evaluating needs.
  • Attend immediately to emails forwarded from individuals that require action or follow-up
  • Anticipate needs and act proactively to ensure seamless daily operations
  • Arrange personal diary appointments
  • Manage resource and beauty vendors' hours of work
  • Manage principal’s inventories, ensuring all are updated
  • Manage and maintain contact lists
  • Take notes, prepare memos, letters and reports
  • Coordinate travel arrangements and prepare detailed itineraries
  • Travel may be required at short notice, including international travel; a current passport is required
  • Organise and take care of mail and files
  • Use Dropbox for filing and continuity with events and inventories
  • Assist with planning, organising and coordinating events for various locations
  • Coordinating details for social events, which may involve handling invitations and RSVP’s, working with the House Manager, Food and Beverage Manager, Chef, Florist, party planner, etc. and assisting at the event
  • Receives VIP guests
  • May attend meetings, assist in the preparation and printing of documents, agendas, and take and transcribe minutes
  • Run errands
  • Weekly updated report to the principal
  • Coordinate coverage for other executive assistants’ vacation and/or sick leave, etc.
  • Assist with various projects as required
QUALIFICATIONS FOR THE JOB
  • Bachelor’s degree preferred
  • 5+ years as a Personal Assistant or Executive Assistant to a C-suite Executive
  • Extensive experience supporting UHNW individuals and private households
  • Extremely detail-oriented, organised, professional and reliable
  • Proactive and forward-thinking
  • Highly organised with impeccable attention to detail
  • Maintain a positive attitude and willingness to assist all team members
  • Excellent written and verbal communication skills
  • Must be able to effective communicate with all levels of personnel and external contacts
  • Ability to work independently and multitask within a fast-paced team environment, emphasising accuracy and timeliness
  • Diplomatic, trustworthy, tactful and discrete concerning confidential information with utmost integrity always
  • Advanced knowledge of Microsoft Word, Excel and PowerPoint
