Job description
Executive Support Officer – Grade 7

We are looking to appoint a Grade 7 Executive Support Officer to work with our Executive Director of Housing and Communities.

This role provides an excellent opportunity to provide personal assistance and business support in a highly efficient and confidential working environment. You will be responsible for delivering a high quality and effective service for the Executive Director’s senior management team, using your own judgement and initiative to ensure the senior management team is kept fully informed.

You are required to have effective communication skills, be adept at using emotional intelligence to anticipate issues before they arise and have excellent research and organisational skills to deal with issues and be effective in this role. You will also understand the way that Hull City Council works and the key issues of the moment.

The role requires the successful candidate to maintain daily communication with the Executive Director on behalf of individual members of staff, managers and elected members relating to case specific requests for information, liaising on behalf of the Executive Director with council services, elected members, partner organisations and the corporate strategy team.

If you have experience in arranging complex and operational meetings, minuting, maintaining action trackers, organising, supporting and providing business support for routine leadership meetings then this role may be suitable to you. The duties include preparing agendas, room bookings and supporting the facilitating of presentations etc. The postholder will also support the Executive Director with projects to ensure work progresses and ensuring governance processes run smoothly.

Responsibilities in the role also include coordinating, and monitoring MP, elected member and other enquiries, processing various HR and finance requests which require approval ensuring deadlines are met. The postholder will ensure information is accurate and that relevant services are communicated with effectively and support the Executive Director with HR related case discussions, following both informal and formal processes.

The postholder should have excellent IT skills, diary management skills as well as experience resolving critical and conflicting issues and demands, with the ability to prioritise meetings, calls and workload using their own judgement and initiative to provide a responsive support.

The role can be demanding, and you must be able to maintain confidentiality. Evidence of extensive administration experience, excellent interpersonal and communications skills is essential to deliver an efficient business support service at all professional levels.
