Job description

We are working on a brilliant new opportunity for a proactive, confident EA to support the board of directors of a newly established technology and natural resources group. They are developing genuinely exciting exploration and materials solutions and have big growth plans for 2026, so it is a great moment to join them. The business is involved in several innovative projects and the pace is fast, varied and very collaborative, offering real exposure and the chance to grow with an ambitious leadership team.

This is a hands‑on role, perfect for an individual who enjoys taking ownership, getting involved in detailed administrative tasks, and keeping complex workstreams on track. It would suit an EA with strong organisational instincts who likes to be right at the centre of things, supporting senior stakeholders with accuracy, clarity and calm.

If you thrive in a dynamic startup environment and like the idea of making a genuine impact on a company’s trajectory, this will appeal. They are looking for someone open‑minded, adaptable and happy to roll up their sleeves across different areas of the business, building strong relationships with the existing team and key external partners within the wider group.

This is a hybrid role with regular time spent in their new Mayfair offices and the flexibility to work from home. During key deadlines or particularly busy periods you will be expected to be onsite more frequently. Core hours are 9am to 6pm with some flexibility when needed.

DUTIES INCLUDE
  • Provide full administrative and EA support to the Board of Directors (four Directors)
  • Manage diaries across multiple time zones, schedule internal and external meetings, and coordinate complex calendars.
  • Organise travel for board members, including flights, hotels and itineraries
  • Prepare, format, proofread and manage a wide range of documents, including reports, presentations, evidence packs, investor materials, funding documentation and board papers.
  • Support the preparation of materials for legal, compliance and due diligence processes, including documentation for a planned international listing.
  • Conduct research to support the board across various workstreams and upcoming projects.
  • Track deadlines, monitor progress and ensure key documents keep moving, even when senior leaders are pulled into other priorities.
  • Liaise with internal teams to gather information, coordinate inputs and keep communication flowing smoothly.
  • Maintain tidy, well‑structured filing systems and strong version control across all shared documents.
  • Provide occasional light administrative support to associated companies within the wider group.
  • Uphold confidentiality, accuracy and discretion at all times.
ESSENTIAL REQUIREMENTS
  • At least 5 years of EA or senior administrative experience, ideally supporting a CEO, board or senior leadership team.
  • Confident with diary management, scheduling, travel coordination and juggling multiple priorities.
  • Excellent document handling skills, including drafting, editing, formatting and structuring written materials
  • Exacting attention to detail with the ability to work quickly and accurately under pressure.
  • Naturally proactive, organised and able to take ownership of tasks without needing supervision.
  • Comfortable working full‑time onsite in a fast‑paced, high‑growth environment.
  • Research skills or experience supporting technical or documentation heavy projects would be a real benefit.
  • Flexible, adaptable and calm when priorities shift or deadlines move.
  • Team player who can build strong working relationships while also working independently when required.
  • Candidates with immediate availability will be prioritised
  • Right to work in the UK
  • Strong, verifiable references
