Hours: 9am – 5/6pm (flexibility required)

Salary: Up to £50,000 DOE

A fast-growing longevity media company is seeking a highly capable Executive Assistant & Project Manager. You will act as the gatekeeper for a very busy CEO and will play a vital role in the success of day-to-day operations. This role requires someone proactive, fast‑paced, and deeply invested in driving the success of an ambitious, international, and creative start‑up environment. The right person is dynamic, career‑focused, and eager to make a meaningful impact within the business. The ideal candidate will have experience in scale‑ups, creative industries, or fast‑paced entrepreneurial settings. They must be resilient, highly efficient, and able to adapt quickly to shifting priorities.

Responsibilities
  • Executive Support:
    • Complex, multi‑stop international travel planning
    • Full inbox and diary management
    • Handling both business and personal scheduling (classes, appointments, travel, etc.)
    • Acting as gatekeeper and key point of coordination
    • Ensuring deadlines are met and priorities are properly managed
    • Coordinating event organisation and logistics
    • Handling general administrative tasks with meticulous attention to detail
    • Supporting internal team coordination and communications
    • Maintaining filing systems and company documentation
  • Project Management:
    • Driving projects from conception through to completion, ensuring all deadlines are met
    • Building and implementing processes and systems to support company growth
    • Creating clear, comprehensive briefs for team members and external partners
    • Tracking multiple workstreams simultaneously and maintaining momentum across initiatives
    • Supporting the wider team in staying on top of their deliverables
    • General team support
