Job Overview

The Project Manager is responsible for supporting the team with coordinating and delivering a wide range of events and services for one of the world’s largest Automotive companies. Experience within an agency is key, and knowledge of the automotive industry would be advantageous.

Key Responsibilities

Key responsibilities will include but are not limited to:

Project administration:

  • Prepare and maintain briefing documents
  • Ensure all actions from meetings are recorded and actioned
  • Work with the Strata and client teams to ensure key dates in event schedule are met
  • Organise meetings; internally and externally – diary invites, room bookings, refreshments etc
  • Maintain good housekeeping within server folders and files – ensure all documents are labelled and filed correctly in accordance with Strata / client process
  • Demonstrate an understanding of commercial principles
  • Project administration including raising of purchase orders and reconciliation
  • Archive event material post-event, ensuring all documents are labelled and filed correctly
  • Maintain a good working knowledge of the project, updating project documents including working documents, contact reports, and schedules
  • Work with the team to book and arrange vehicles for events
  • Ensure good brand guardianship through event collateral, branding, and digital and printed materials
  • Assist with finance processing – work with the Strata team to ensure all quotes and reconciliation are shared promptly
  • Work with the client to ensure Strata receives approvals and POs in accordance with company policy

Brief taking and pitching:

  • Assist with pitch work – contribute creative content and research
  • Conduct project research for entertainment, gifts, venues, and other items/services
  • Liaise with suppliers and stakeholders to ensure delivery aligns with Strata’s process
  • Attend site visits and create reports as required

Reconciliation and post-event:

  • Assist with project reconciliation
  • Assist with post-event reporting
  • Archive event materials per Strata and client processes, ensuring items are labelled and filed correctly

Creative:

  • Contribute to creative content and project delivery
  • Research entertainment, gifts, and collateral for projects
  • Liaise with suppliers and stakeholders to ensure quality delivery
  • Attend site visits

Job Requirements

The successful candidate will have experience at a similar level within a marketing communications or experiential agency and demonstrate:

  • Excellent customer service skills and ability to meet client requirements on-site and on location
  • Ability to uphold high production values throughout projects
  • Monitoring the quality of all client deliverables
  • Developing positive client relationships and acting as the main operational contact
  • Acting as a brand ambassador for Strata and the client’s brand
  • Promoting other Strata services such as Digital and Creative Services
