Overview
As an Event Planner you will take the lead in coordinating all aspects of conference, event and wedding bookings for the venue, for both external and internal customers. The role includes conducting show rounds to support conversion and meeting customers to establish final details, while ensuring every customer receives a high standard of service from start to finish. You will proactively upsell and aim to exceed customer needs and expectations. You will ensure all event orders and supporting documents are detailed and accurately produced before handing over to the operations team, and that invoices are raised and payments received in line with company terms. You will be proactive in gaining and responding to customer feedback and developing the C&E offer to generate new business. You will maintain high standards of accurate and timely customer, client and management information, and work closely with the Sales Manager and General Manager to achieve venue sales targets and consistently exceed customer satisfaction.
Responsibilities
- Conduct reactive sales activities including responding to voice and email enquiries from initial to final details for events.
- Coordinate events across all market segments for both external and internal customers.
- Utilise CRM system (Delphi) during the planning phase to ensure all details are recorded and reflect customers’ requirements.
- Produce accurate and detailed event orders. Hand over and liaise with operations team for successful delivery of events; lead weekly BEO meetings.
- Achieve agreed performance and upsell sales targets.
- Conduct venue show rounds and post-contract planning meetings (face to face and TEAMS).
- Ensure all sales revenue is accurately recorded in Delphi and post-event sales are updated.
- Attend weekly sales forecast calls and sales review meetings as required.
- Generate and send accurate full pre-payment invoices to customers and ensure payments are received within agreed timescales.
- Conduct post-event calls to obtain feedback and maximise repeat business; ensure feedback leads to continuous improvements.
- Share new and repeat business leads with the Sales Manager.
- Liaise with client onsite teams to ensure a harmonised approach.
- Attend venue showcase events and FAM trips as required.
- Support innovative campaigns for the sales and marketing plan.
- Monitor competitors’ sales activity/initiatives.
- Maintain accurate, up-to-date reports and information.
- Maintain Delphi FDC booking system compliance and other key metrics.
- Build and maintain relationships with local event partners.
- Support creation of new packages and enhancements to develop the venue’s C&E offering.
- Perform administration duties and ad hoc tasks as required, demonstrating a “can do” approach.
- Coordinate all Conference and Event bookings including weddings.
- Contribute to achieving the C&E sales budget.
- Deliver reactive sales activities for the venue including internal client bookings.
- Ensure invoices are generated, distributed and paid in line with T&Cs.
- Provide accurate sales reports/forecasts and help achieve venue performance standards.
- Perform ad hoc tasks to ensure the success of C&E business at the venue.

- Ability to develop partnerships with industry contacts.
- Show initiative, drive and ambition to deliver and be a confident decision maker.
- Self-motivated with the ability to maintain focus on sales targets and customer satisfaction.
- Good understanding of database management and competence in Microsoft.
- Effective team player.
- Previous experience within hospitality sales & event planning.
- Experience in achieving KPIs.
- Good understanding of CRM systems (ideally Salesforce/Delphi) and Microsoft 365.
- Excellent communication skills.
