Job description

Hitachi Energy are looking for a Document Control Specialist to join a dynamic and collaborative team driving excellence in engineering projects. As a Document Controller, you will play a critical role in ensuring the accuracy, compliance, and timely delivery of technical documentation across complex projects. This opportunity offers the chance to work closely with Project Management, Engineering, and Planning teams, while developing expertise in cutting-edge document management systems. How you'll make an impact
  • Register, issue, update, and archive technical project documentation (drawings, specifications, certificates, etc.).
  • Maintain and keep the Document Management System (DMS) up to date.
  • Prepare the Project Document List in collaboration with all disciplines and the list of documents to be shared with the client.
  • Coordinate with all disciplines and clients to ensure proper document delivery and traceability.
  • Collaborate with Project Management, Engineering, and Planning teams to monitor document status, update planning dates, and activate internal and external documentation workflows.
  • Prepare reports on document status.
  • Ensure compliance with company standards and document control procedures.
  • Review technical specifications to identify document management requirements for projects.
  • Provide training to end-users on the use of the document management tool.
  • Prepare & collate Health & Safety Files, including technical manuals (O&M) to relevant project requirements.
  • Support off site activities related to effective document management control such as scanning and filing of project documentation at customer premises.
  • Manage outsourced printing suppliers through requesting quotations, monitoring quantities and reporting to the Project and Document Manager.
Qualifications
  • Library and Information Studies (or similar); technical degrees with proven experience in document management within engineering companies.
  • Minimum of 5 years of experience in Document Control activities in engineering firms.
  • Knowledge of document management tools (InEight, SharePoint, Aconex, Livelink, Extended ECM etc.).
  • Knowledge of Autodesk Construction Cloud (ACC) and Building Information Modeling (BIM) environments is a plus.
  • Knowledge of Microsoft Office (Outlook, Excel, Word, PowerPoint).
  • Organizational skills, attention to detail, and good communication abilities.
  • Knowledge of various relevant industry standard client documentation practices including National Grid / SSE / SPEN / DNO requirements, is desirable.
  • IOSH Managing Safely or similar, is desirable.
