Job description
Overview

To provide confidential secretarial and administrative support to the Divisional Management Team, including the Associate Medical Director (AMD), Head of Nursing (HoN) and Associate Director of Operations (ADO). The role supports the Royal Orthopaedic Hospital NHS Foundation Trust, one of Europe’s largest specialist orthopaedic units.

Responsibilities
  • Manage diary appointments, support documentation and organise meetings.
  • Act as secretary to committee meetings for the ADO, AMD and HoN, preparing and circulating agendas, attending meetings, taking minutes and maintaining action logs.
  • Serve as point of enquiry for the divisional management team, handling incoming calls, emails and liaising with internal and external colleagues.
  • Arrange travel, audio‑typing, copy‑typing and produce correspondence including letters, reports and committee papers.
  • Prepare slides and spreadsheets using PowerPoint and Excel.
  • Act as central contact for complaints, serious incidents and root‑cause analysis, and support the creation of related action plans.
  • Ensure staff managed by the divisional team are up‑to‑date with annual and statutory training.
  • Assist with HR processes such as recruitment, termination and staffing processes.
  • Order goods and services for relevant departments.
  • Maintain office technology skills and attend training.
  • Participate in the Trust’s Personal Development Review programme.
  • Provide cross‑cover for PA colleagues in Patient Services and Patient Support Services divisions as required.
