Job description

We're looking for a proactive and experienced Deputy Facilities Manager to join our team and help deliver exceptional facilities services across the organisation. This is a key operational role, responsible for ensuring the smooth day‑to‑day running of the sole TPR office, in Brighton. Leading a small facilities team delivering high quality helpdesk service, managing supplier relationships, and supporting hybrid working arrangements. You'll act as the primary escalation point for facilities issues and deputise for the Facilities Manager when required. You'll play a vital role in creating a safe, secure, comfortable and well maintained environment for our staff.

Responsibilities
  • Oversee the delivery of high‑quality facilities services
  • Build strong relationships with internal customers and stakeholders
  • Lead and develop a small team of Facilities Advisers and a Coordinator, ensuring service excellence and professional growth
  • Manage building operations, oversee hard services and cleaning contracts including day‑to‑day liaison with on site handyman and cleaning team
  • Liaise with landlords and agents on repairs and maintenance
  • Oversee supplier contracts in line with procurement procedures, ensuring value for money and quality service
  • Ensure compliance with statutory and regulatory requirements and maintain physical security standards (ISO:27001)
  • Ensure processes are documented, updated and applied consistently
  • Support Business Continuity Planning and act as Deputy Bronze in incident response
  • Be involved in the out of hours on call rota, take on the role of Incident Controller in the event of an incident and be trained as a first aider
  • Work closely with colleagues in H&S and Sustainability to ensure the building management supports strategies in these areas
  • Drive continuous improvement in facilities services to meet evolving organisational needs

Qualifications
  • Strong understanding of statutory and regulatory compliance in facilities management.
  • Expertise in property and facilities management, including contract and supplier management.
  • Proven experience in stakeholder engagement and customer relationship management.
  • People management skills, including mentoring and team development.
  • Excellent communication and influencing skills, with the ability to manage workload independently and meet tight deadlines.
  • Project management experience and a proactive, adaptable approach.
Desirable criteria
  • Experience of working with Facilities helpdesk software.
  • Working towards or holding membership of a relevant professional body (e.g., IWFM Level 4/5, RICS FM Pathway, MRICS) or equivalent experience.
Compensation and Benefits

Alongside your salary of £39,751, Pensions Regulator contributes £11,515 towards you being a member of the Civil Service Defined Benefit Pension scheme. We offer 25 days annual leave plus bank holidays, 35 hour working week (full‑time), flexible working patterns, and flexitime. We also provide competitive parental leave, as well as a Civil Service Pension with an average employer contribution of 28.97%.
