Job description

Job purpose: To deliver Cover administration, HR Recruitment Administration, Support Finance with Trips administration and other general HR administrative duties to support the Academy., Role : To act in conjunction with the HR Lead and Business Manager to deliver a Coordinated service, specialising in Cover, absence management and recruitment to facilitate good working practices and efficient working and to support the Finance Lead with trip administration.

  • Receive and deal with calls both during working hours and outside of working hours to make the necessary bookings for Supply staff.
  • To be responsible for all sickness, Leave and unpaid absence recording in the absence diary.
  • To administer and co-ordinate staff cover daily including setting up cover at the beginning of each day where necessary. This includes planning for supply teachers and maintaining an overview of the supply budget, liaising with senior teaching staff and responding imaginatively to emerging requirements throughout the working day and ensuring the supply cost spreadsheet is updated daily.
  • To carry out forward planning where possible to minimize scope for cover emergencies thereby keeping costs to a minimum and ensuring effective cover for lessons.
  • Receive and distribute cover work from teachers as necessary including transferring this into the cover work internal system as appropriate.
  • To organize re-rooming during exams, and any other extraordinary one-off events.
  • Monitor planned absences to ensure that the Academy policy is consistently applied and understood.
  • To assist and support with the Academy's School Visitor's/Volunteer's policy and processes.
  • Take photos of new starters for ID badges and forward to the IT department and add all new staff to the Bromcom system and maintain the database to ensure personal information is correct
  • To support the HR Lead with general HR administrative duties as and when required, including with the recruitment process through preparation of recruitment documents, downloading application forms and facilitating the movement of candidates on Interview day, and being responsible for the creation and maintenance of personnel files.
  • To maintain copies of policies required for Induction day.
  • To support the HR Lead in ensuring safeguarding requirements and other relevant regulations are adhered to including the completion and recording of clearance checks on the Online SCR database, and maintain confidentiality of staff data in line with legislation and good practice
  • Produce and submit the Work Force Census data each academic year.
  • To support Finance Lead with Trips administration
  • To undertake any other reasonable duties as directed by the Headteacher or delegated alternative.
