Construction Site Administrator

Location: Coalville, Leicestershire
Contract: 6-Month Rolling Contract
Rate: £15.00 per hour + £1.81 holiday pay (PAYE)
Hours: Monday to Friday, 7:00am – 3:00pm
Start: Immediate

Our client is a leading provider of automation and engineering solutions for large-scale warehouse and distribution facilities. They are seeking a Site Office Administrator to support the management team on an installation project in Coalville.

This is a key role providing administrative, coordination, and compliance support on a busy construction and automation site. You’ll help manage documentation, inductions, contractor compliance, and office operations, ensuring the smooth day‑to‑day running of the project.

Key Responsibilities:
  • Document Control: Maintain SharePoint and project filing systems, ensuring all drawings, permits, and correspondence are up to date and correctly versioned.
  • Inductions & Access: Arrange daily site inductions, maintain attendance and induction records, and update access control systems.
  • Compliance Management: Collect and record toolbox talks, permits, and contractor documents. Verify competencies and accreditations before site work begins.
  • Office Management: Order and manage office supplies, PPE, and deliveries. Support facilities coordination to maintain a safe, tidy environment.
  • Communication: Act as a central point of contact for site visitors, deliveries, and contractor enquiries. Support meeting scheduling and progress updates.
  • Health & Safety Support: Assist with maintaining site safety documentation, incident logs, and compliance records. Ensure all HSE files are audit‑ready.
  • HR & Onboarding Support: Support the onboarding and record‑keeping of new starters on site.
The Successful Candidate Requires:
  • Previous experience in a construction, engineering, or manufacturing environment.
  • Strong administrative and coordination background, ideally from a site‑based role.
  • Proficiency in Microsoft Office (Word, Excel, Outlook, Teams) and SharePoint.
  • Understanding of site documentation, permits, and compliance requirements.
  • Excellent attention to detail and strong organisational skills.
  • Professional communication skills and ability to liaise confidently with contractors and clients.
  • Ability to work independently, managing multiple priorities while maintaining confidentiality.
