Overview
The Royal Wolverhampton NHS Trust is seeking a Clinical Coding Assistant to support the Trust's Clinical Coding processes, ensuring data is accurate, complete and submitted within Trust timescales. The role supports the flow of discharge information to agreed standards and assists the Clinical Coding process to improve the quality of coded data used by the Trust. It also involves clerical duties related to the custody and use of Health Records, including administrative procedures and documentation associated with patients' admission and/or attendance at hospital.
Staff are expected to demonstrate initiative in organising their own workload and taking decisions within clearly defined limits. The role requires adherence to data protection, confidentiality and freedom of information principles at all times.
Responsibilities
- Be responsible for the daily collection and return of patients' case notes and/or discharge information from wards, secretaries, mortuary, etc.
- Accurately track case-notes using the Trust's Patient Administration System (PAS) both in and out of the Clinical Coding Department and ensure notes are forwarded to the correct destination on leaving the Clinical Coding office.
- Use the Trust's PAS to locate tracked notes and answer/resol ve telephone queries from wards, medical secretaries and Health Records regarding case notes tracked to coding.
- Locate un-coded ward discharges daily to meet the Trust's deadlines.
- Input and update patient information on the computerised PAS; observe Data Protection requirements as sharing passwords is a disciplinary offence and contravenes the Data Protection Act 1998.
- Provide a reception service that is welcoming and ensures quality service.
- Establish good working relationships with other hospital departments.
- Undertake other duties of a similar nature consistent with the post's band.
- Arrange internal transport of case notes as required.
- Be responsible for general housekeeping and storage of case notes in the Clinical Coding & Data Quality department as necessary.
- Collect relevant statistical data relating to patient activity.
- Be responsible for the security of case notes within the department.
- Cover in the absence of colleagues as required and ensure data quality & departmental standards are maintained & kept up to date.
- Attend mandatory training courses (including Manual Handling & Fire Lectures) and local departmental training as required; participate in the annual appraisal process.
- Be aware of security arrangements in the working area and be responsible for the security/distribution of keys held in the department.
- Adhere to Trust and local policies on confidentiality and information handling; comply with Data Protection Act 1998 and Freedom of Information Act 2000.
- Comply with Health & Safety and Fire Regulations and report accidents or hazards as required.
- Undertake tasks relevant to the Clinical Coding Assistant role as required by the Directorate/Department.
Qualifications
- Essential: 4 GCSEs or equivalent including English
