Overview

An exciting and immediate opportunity has arisen for a Business Support Officer and Personal Assistant (PA) to work with the Chief Executive of NHS Greater Glasgow and Clyde. The role will also provide support to the Deputy Chief Executive and will provide line management to the Corporate PA team. This post is based at JB Russell House, Gartnavel Royal Hospital and is offered on a permanent basis.

Responsibilities
  • Provide high-level Personal Assistant support to the Chief Executive and Deputy Chief Executive, including all secretarial and administrative duties.
  • Manage a fast-paced, unpredictable workload with discretion and diplomacy in a confidential setting.
  • Line manage the Corporate PA team and assist in coordinating executive support across the leadership team.
  • Utilise Microsoft Office applications (Word, Excel, PowerPoint) and Teams to support the board and executive operations.
  • Engage with internal and external stakeholders at a senior level, including Directors, Clinicians, Operational Managers, and external bodies, to promote a positive image of the organisation.
  • Contribute to delivering services across a wide portfolio of high-profile and critical work programmes, working collaboratively both internally and externally.
Qualifications and Skills
  • Experience in a demanding PA, Team Secretary, or Administrative Officer role, with an understanding of the NHS or a large multisite organisation in the public or private sector.
  • Proven track record of working at Senior Management/Board level in a busy organisation with competing priorities.
  • Excellent organisational, analytical, written and oral communication skills; ability to provide extensive administrative support to the Chief Executive and Deputy Chief Executive.
  • Flexibility, strong organisational and communication skills, and a high level of competency in Microsoft Office (Word, Excel, PowerPoint, Teams).
  • Qualification in Administration equivalent to a Degree in Secretarial Studies or Business Administration, or significant relevant equivalent experience.
