Overview
We aim to develop a more comprehensive role that will ensure real-time validation, excellent understanding of data handling for reports / business cases / slides, and provision of data for daily performance across all units within the Urgent Care services including AMU, SDEC and Emergency Paediatrics. The department has multiple Business Support Administrators providing senior-level support and guidance to the team, with responsibilities shared across roles.

Roles and Responsibilities
- Staff Management
- Line management of Band 4 AMU Secretary, Band 4 ED Secretary and Band 3 Trauma Registry Administrator and accountability for delivery of their key responsibilities.
- Monitor and manage staff performance, appraisals and essential skills as per the management structure.
- Manage annual leave, flexible working requests, and long-term sickness for direct staff members and supporting POD 13 Business Support Administrator if required.
- Be responsible for recruitment processes within the management hierarchy.
- Pathway and Improvement
- Oversee and coordinate monthly management meetings by taking actions and generating reports for senior management.
- Be the accountable lead for the investigation of any breaches of targets, and implement actions to resolve and prevent recurrence.
- Data Analysis and Performance
- Assist Senior Management team of the CBU Team in the delivery and presentation of the Emergency Pathway through administrative and data analysis and review.
- Coordinate administrative service to ensure current systems remain fit for purpose and support senior members with improvement plans (e.g., writing business cases, SOPs, creating reports).
- Work as part of a multidisciplinary team to share patient pathway information.
- Regular validation of data on a daily, weekly and monthly basis to prevent breaches and share validated data with wider departments to support pathway improvements and address issues promptly.
- Submit national and local validations of breaches.
- Participate in business management meetings to identify opportunities for improvements and cost savings in urgent care.
- Directly manage the Band 3 Trauma Registry Administrator.
- Be the accountable lead for data submissions: Assault data, LAS data, Mental Health data, and 12-hour performance data.
- Other responsibilities
- Oversee and support non-paid finance including raising invoices within the admin budget and coordinating financial matters with the Service Manager and Operational Manager.
- Manage the RADAR system and oversee the risk register, complaints, and incidents.
- Collaborate closely with the existing Band 6 Admin Manager and jointly manage POD 13 staff members and the larger administrative team; provide cover when needed.
- Escalate issues that may disrupt the patient experience to the Operational and Service Manager.
- Occasionally represent the Service Manager in their absence.
- Lead all operational and strategic initiatives to ensure administrative services effectively support Urgent Care in delivering outstanding patient care.
Department context: Croydon Health Services provides integrated NHS services to care for people at home, in schools, and health clinics across the borough, as well as at Croydon University Hospital and Purley War Memorial Hospital. CUH provides more than 100 specialist services and hosts the borough’s only Emergency Department and 24/7 maternity services, including a labour ward, midwifery-led birth centre and the Crocus home birthing team. Purley War Memorial Hospital offers outpatient care, including diagnostics, physiotherapy and ophthalmology services run by Moorfields Eye Hospital, alongside an onsite GP surgery.
