Responsibilities

  • Provide top-notch support to all licensees for a productive business environment.
  • Monitor & manage supplier renewals including Buildings Insurance and Energy providers.
  • Ensure building services are performed timely and efficiently.
  • Oversee marketing of lettable space and liaise with commercial agents.
  • Manage and enhance social media platforms and website.
  • Ensure smooth move-in process for new clients.
  • Handle internal office moves precisely and carefully.
  • Develop & maintain strong relationships with contractors.
  • Raise monthly client invoices and handle financial reconciliations.
  • Collaborate on Health & Safety compliance.

This is a rare opportunity to play a vital role in managing a vibrant business centre while delivering exceptional service to our diverse clientele.

About the Role
  • Customer Service Excellence: Provide top‑notch support to all licensees, ensuring their needs are met for a productive and successful business environment.
  • Vendor Management: Monitor & manage supplier and contractor renewals, including Buildings Insurance, Energy providers, refuse collection, and securing best prices with Finance Director.
  • Building Oversight: Ensure all building services – Emergency Lighting, Alarms, Boiler maintenance – are performed timely and efficiently.
  • Marketing Management: Oversee marketing of lettable space, liaising with commercial agents, arranging viewings, local advertising, promotions, contract negotiations.
  • Social Media Presence: Manage and enhance social media platforms and website to keep brand vibrant and engaging.
  • Client Onboarding: Ensure seamless move‑in process for new clients, addressing all expectations from furniture to telephony.
  • Internal Coordination: Handle internal office moves precisely and carefully.
  • Contractor Relations: Develop & maintain strong relationships with contractors for efficient and cost‑effective maintenance.
  • Financial Administration: Raise monthly client invoices, manage supplier invoices, bank and accounting reconciliations using Sage 50.
  • Health & Safety Compliance: Collaborate with Health & Safety Officers to ensure building complies with all regulations and standards for H&S and Fire Risk Assessment.
