The role

This role provides administrative, document control, and system support to the Quality Assurance (QA) and EDMS teams, helping ensure quality records are accurate, organised, and compliant with internal procedures and regulatory standards. The role suits someone who is detail‑focused, collaborative, and confident working within structured quality systems.

Quality Assurance & Document Control
  • Provide administrative support to the Quality Assurance Manager, Head of QA, and Electronic Data Management System (EDMS) team.
  • Manage QA documentation across Viewpoint and shared drives, including version control, approvals, and folder structures.
  • Support the revision and control of BSQA documents, Quality Management Plans, Water Management Plans, Quality Bulletins, Quality Management Plans, and Inspection Test Plans.
  • Obtain updated contractor documentation and maintain revision and competency trackers.
  • Set up, manage, and maintain trackers (e.g. Notice to Serve, Director Tours, competency and training matrices).
  • Carry out Fieldview spot checks and issue reminder communications.
  • Produce workflows, presentations, and quality bulletins for new and updated processes.
Audits, Reporting, and Compliance
  • Collate evidence and prepare documentation for internal and external audits.
  • Track corrective and preventive actions and follow up on actions.
  • Support QA reporting and quality metrics.
  • Ensure records meet company policies and regulatory requirements.
  • Work with cross‑functional teams to gather and verify quality‑related information.
EDMS Administration & Management
  • Administer and maintain EDMS platforms (Fieldview and Viewpoint).
  • Monitor compliance with document control procedures and standards.
  • Provide EDMS training, guidance, and troubleshooting support, liaising with IT where needed.
  • Support project teams with access to technical and contractual documentation.
  • Liaise with subcontractors, consultants, and internal teams to support document flow.
  • Send project invitations and QR codes to users.
General Administration
  • Manage day‑to‑day administration, including scheduling, correspondence, meetings, and training.
  • Maintain accurate records and develop guides and templates.Support task implementation for new projects commencing in 2026.

The standard default full‑time working hours in the office are 8am‑5pm with core working hours 9am‑4pm. Consideration will be given to candidates seeking a 32‑hour working week.
