The Book Keeper will be highly organised, numerically driven, detail-oriented and have a good background in finance. They will play a crucial role in managing financial records, ensuring accurate data entry. The post holder will ideally be proficient in Quick Books accounting software and have a strong understanding of financial processes. They will be able to produce account reports as required by the business and assist in budgeting.
Main duties of the job
- Maintain and update financial records using Quick Books
- Perform data entry tasks with a high level of accuracy and attention to detail
- Manage and maintain Quick Books account package
- Manage accounts receivable and payable in a timely manner, ensuring unpaid invoices are chased up
- Assist the Practice Manager Finance Lead to prepare monthly, quarterly reports, cashflow forecasts and budgeting
- Banking
- Prepare service charge spreadsheets and reconciliation
- Keep records of invoices and remittances
- Proactively chase up debtors
- Identify and address account discrepancies
- Payroll Admin including staff salaries, sickness absence etc
- Assisting with preparation of annual year end accounts reports
- Assist in preparing financial reports and documentation for audits.
- Any other associated finance and accounting tasks

- Create and update spreadsheets when required
- Set up payments in bank account for weekly payment run
- Assist with PCN finance
- Identify payments and income to match in Quick Books
- Balance monthly petty cash
- Manage accounts receivable and payable
- Review and process reimbursements
- Assist in budgets preparation
- Upload and keep records of invoices
- Identify and address account discrepancies
- Participate in payroll processes
- Assist with finances regarding Medical students/GP trainees
- Prepare service charge spreadsheets and reconciliation
- Assist with bank reconciliations
- Supporting preparing annual accounts
Requirements and skills
- Proven work experience as a Book keeper or Finance Administrator
- Hands-on experience with accounting software, like Quick Books
- Advanced knowledge of MS Excel (creating spreadsheets and charts and using financial Excel functions)
- Good understanding of bookkeeping procedures
- Time-management and organisation skills

Qualifications
- Grade C or above in GCSE English and Maths
- Institute of certified Book Keepers (ICB)
- Association of accounting technicians (AAT)
- International Association of Book Keepers (IAB)
Experience
- Finance or accounting knowledge and experience
- Understanding of financial regulations and internal control procedures
- Experience using financial software
