Liverpool University Hospitals are seeking to recruit an Assistant Domestic Manager for our Royal Liverpool Hospital site. The Domestic team at LUHFT make a difference, and we are looking for passionate and highly motivated people to join our busy team.

The post holder will be responsible for coordinating staff wellbeing and absence for the domestic team. This role involves being the central point of contact for staff reporting sickness, managing sensitive information, recording absence data, and liaising with various departments, including payroll and occupational health. It also includes the creation and delivery of sickness reports.

The post holder will play a key role in supporting managers in managing sickness absence and ensuring appropriate staffing levels are maintained through roster coordination.

Experience within a healthcare environment would be beneficial. Due to the size and nature of the department, there may be occasional late finishes, and occasional weekend and bank holiday working. Flexibility is therefore essential.

The post is 37.5 hours per week, working Monday – Friday.

Main duties of the job

You will be a key member of the Domestics Management Team, working closely with managers in Estates and Facilities and the wider Trust to ensure that cleaning services are delivered in line with the National Standards of Healthcare Cleanliness 2025 and the Trust's required standards.

As Wellbeing and Absence Co‑ordinator you will be the central point of contact for staff reporting sickness, managing sensitive information, recording absence data, and liaising with various departments, including roster, payroll and occupational health. You will support the management of sickness absence and help maintain appropriate staffing levels.

You will provide administrative and clerical support, including word processing of correspondence and reports, updating and maintaining spreadsheets and databases, and using software packages. You will have excellent IT skills and the ability to create and maintain Excel spreadsheets.

Job responsibilities

Be the first point of contact for all sickness absence reporting within the Domestic Services team.

Accurately record staff sickness absence in line with NHS policies, procedures, and data protection requirements.

Monitor absence levels, maintain up‑to‑date records, and identify any patterns or areas of concern.

Liaise with Domestic Services Supervisors and Managers to ensure timely return‑to‑work meetings are arranged and documented.

Support line managers in applying the Trust’s sickness absence policy, including escalation when trigger points are reached.

Arrange occupational health referrals and support staff with access to wellbeing resources where appropriate.

Produce regular absence reports for the Domestic Services Manager and HR department and attend sickness and wellbeing meetings.

Maintain confidentiality and handle all information sensitively and professionally.

Communicate clearly and compassionately with staff who are off sick, providing advice on reporting procedures and return‑to‑work processes.

Carry out general administrative tasks in relation to the Domestic Department, such as filing, updating rotas, and coordinating cover where needed.

Carry out regular Supervisor 1‑1 meetings to assist in effective two‑way communication and to cascade the Trust’s aims and objectives to Supervisors and then to Domestic staff.

Ensure Health and Safety compliance, including conducting meetings and documentation of risk assessments and standard operating procedures.

Assist the Domestic Services Manager with the day‑to‑day management of the service.

Any other duties as required.
