Job description

You will possess excellent administrative skills and good working relationships with colleagues. You will be an excellent communicator and can prioritise your workload ensuring that work is completed in a safe and timely manner.

Responsibilities
  • Work in the Admin Hub supporting the Respiratory Team and the Epilepsy and Parkinsons Team at Mayflower Community Hospital.
  • Deliver administrative assistance alongside nursing teams as and when required.
  • Respond to enquiries and take appropriate action by telephone, correspondence or other routes within agreed time limits.
  • Ensure workload is managed and prioritised appropriately.
  • Establish and maintain electronic filing systems (knowledge of Systm One, Teams, Cisco Jabber and Microsoft Office Package).
  • Prepare agendas, update action logs, arrange and take minutes at internal meetings, book meeting rooms, and liaise with representatives.
  • Input generic data into organisational systems or in‑house records and action queries promptly.
  • Receive referrals via telephone, email and online, offer appointments with clinicians, cancel or amend appointments, and send emails/SMS to patients.
  • Order supplies, manage stock rotation, audit equipment and make equipment/supply packs for nurses.
  • Prepare reporting: complaints and compliments, Power BI reports on 18‑week waits, health roster reports on sickness, booking clinics.
  • Cover other admin hubs at various locations if required.
  • Work without supervision and ensure urgent situations are addressed swiftly.
Working Hours and Location

33 hours per week over 5 days. Flexibility with working hours. This is an office‑based role at Mayflower Community Hospital.

Compensation and Benefits
  • High Cost Area Supplement – Outer London: 15% of the basic salary (minimum £4,313 to maximum £5,436 per annum pro rata for part time).
  • High Cost Area Supplement – Fringe: 5% of the basic salary (minimum £1,192 to maximum £2,011 per annum pro rata for part time).
