A construction management firm in Greater London is seeking an organised and proactive Administrator. The successful candidate will assist with project coordination and office administration, maintain documentation, ensure quality standards, and provide general administrative support. Requires proven administrative experience, strong organisational and communication skills, and proficiency in Microsoft Office. We are seeking an organised and proactive Administrator to support our construction team with day-to-day project coordination documentation and office administration.
Maintain and organise project documentation : Scan upload and file documents and drawings both hard copy and electronic into a structured computer-based filing system in line with company procedures. Ensure all documents are accurately labelled and easily retrievable.
Document control and distribution : Receive and log incoming drawings specifications and correspondence; issue updated documents to relevant teams via email or document management platforms; ensure all versions are current and superseded copies are clearly marked.
Monitor and track project progress : Maintain up-to-date records of daily site activities and works in progress liaising regularly with site teams subcontractors and project managers to gather current information and progress updates.
Upload and share documentation : Upload completed project files reports and handover documentation to shared client portals or designated platforms upon completion of works ensuring all required information is included and formatted correctly.
General administrative support : Assist with a range of office and site-based administrative tasks including updating registers maintaining contact lists arranging meetings preparing correspondence and supporting the wider construction management team as required.
Quality and compliance : Ensure all documentation meets internal quality standards and client requirements maintaining confidentiality and adhering to data protection regulations.
