Job description
Responsibilities
  • Proactively coordinates multiple calendars, including scheduling internal and external meetings, room bookings, and calls.
  • Ensures team members are prepared for meetings and carry‑forward action items.
  • Performs monthly expense reporting, and coordinates approval and processing of invoices.
  • Assists in the creation of high‑quality on‑brand communications, reports, and presentations.
  • Provides support and assists with departmental and team off‑sites and social events.
  • Coordinates and books travel arrangements, including flights, hotels and visa requirements.
  • Coordinates and performs critical internal processes for the team.
  • Works closely with other Executive Assistants and teams to increase efficiency and provide overall departmental support.
  • Provides support, holiday coverage and ad‑hoc administrative tasks as required.
Qualifications
  • High school diploma required; college diploma or bachelor’s degree preferred.
  • Proactive, self‑starter who takes initiative, owns projects and meets deadlines aligned with business objectives.
  • Relevant administrative support experience in a fast‑paced, professional environment.
  • Prior experience in the financial services or related industry is an asset.
  • Requires strong communication skills, both written and verbal in English.
  • Proven attention to accuracy and detail, highly organized with the ability to prioritize and multi‑task under pressure.
  • Experience with complex calendar coordination, booking high‑profile meetings and events, scheduling travel, and performing the expense reimbursement process.
  • Working knowledge of MS Office (Word, Excel, PowerPoint, Outlook, Calendar) and comfort and interest in learning new applications.
