Job description

The Bodleian Libraries is seeking an Administrative Assistant to provide vital support to the busy and high-profile Directorate office.

Situated in the Clarendon Building of the historic buildings of the Bodleian Libraries, your primary role will be to provide administrative support within the Directorate office. You will also provide reception cover for the Clarendon Building for a short period each day.

You will maintain and update spreadsheets and mailing lists, and assist with correspondence and visitor arrangements. While providing reception cover, you will greet visitors and ensure queries are dealt with efficiently and professionally.

This is a varied and interesting role, and since the libraries always have something interesting going on, from exhibitions, events and VIP visits to being a popular filming location, there is always the opportunity to get involved in something new!

This is a permanent part-time post, working 20 hours per week (0.5479 FTE). Working hours will be from 13:00–17:00.

Please note that this role does not support remote working.

About You
  • You will have excellent communication skills, both written and verbal, with an ability to engage confidently and courteously with visitors. You will be experienced in working within a reception or customer service environment and understand the importance of confidentiality.
  • Good IT skills are essential, particularly proficiency in Microsoft Office applications including Outlook and Excel, as is the ability to manage a varied workload and meet deadlines with accuracy and attention to detail.
