Job Summary
RightCare Barnsley SPA is based at Kendray Hospital and we are here to ensure that Barnsley residents receive the right care, in the right place at the right time. This role receives patient referrals from a variety of sources, including GPs, hospitals and health professionals and processes them to the appropriate area while liaising with clinical staff for advice to ensure patients receive the right response to their care needs as quickly as possible. We receive over 500 contacts a day, answering calls from families, service users and health professionals dealing with a variety of situations to ensure the best patient care and outcome. We operate 365 days a year, working 8am to 8pm on a rolling shift pattern that includes weekends and Bank Holidays. Each 8 hour shift includes a 30 minute lunch. It is a 5 week rota equating to working 1 weekend in 5. At the time of advertising, this role does not meet the minimum requirements set by UK Visas and Immigration to sponsor candidates to work in the UK. Responsibilities
- Receipt and distribution of patient referrals to the appropriate staff via telephone/email and SystmOne as per departmental procedures and timescales.
- Accurately transcribing medical conditions, treatments, prescriptive medicines, and patient demographics to ensure nursing staff can treat appropriately.
- Responding to over 500 daily contacts from families, service users, and health professionals to ensure the best patient care and outcome.
- Maintaining confidentiality and confidentiality standards in all interactions.
- Working flexibly to meet the needs of the service and adapt to changing demands and frequent interruptions.
- Acting as the principal point of contact for users of the service, including individuals from within and outside the Trust, service users, and members of the public.
Qualifications & Experience

Person Specification
- Physical Attributes (Essential): A satisfactory sickness record over the previous 2 years and ability to fulfil occupational health requirements.
- Training (Essential): Willing and able to undertake all Trust mandatory training and subsequent refresher training relevant to the area, ongoing job development and training and maintain skills.
- Qualifications (Essential): NVQ level 3 (or equivalent qualification) or RSA III, or demonstrate competency at level 3.
- Experience (Essential): Recent secretarial/administrative experience with copy/audio typing, note/minute taking, and using email, maintaining and updating paper and electronic diaries, arranging meetings, and working effectively as a team member with minimum supervision in a busy environment with competing demands and maintaining strict confidentiality.
- Special Knowledge/Skills (Essential): Good written and verbal communication skills, decision‑making and prioritisation, knowledge of Data Protection Act, customer care skills, good interpersonal skills, diversity/cultural understanding, resilience to pressure, non‑judgemental empathetic manner, observation skills to identify potential risks and act appropriately, demonstrates Trust values, and ability to fulfil Trust induction.
