Administration Officer

The closing date is 10 December 2025.

Applications are invited from suitably qualified and experienced administration candidates to join our busy administration team. We have a Band 3 Administration Officer vacancy with the Children and Young Peoples Service (CYPS) based at Benton House (136 Sandyford Road, Newcastle NE2 1QE). Successful candidates must be willing to travel and work from Bensham Hospital CYPS team base (Fontwell Drive, Bensham, Gateshead NE8 4YL) when required.

The post is 30 hours (4 days) and includes 8am‑8pm shifts. Some 9am‑5pm shifts are also included. The role is based at Benton House but travel to Bensham Hospital may be required.

This is a very busy service and the successful post holder will be a member of the admin team to support the multi‑disciplinary clinical team to provide a comprehensive, high‑quality administrative service at all times. You will undertake a variety of admin duties as assigned by the Clinical Team Manager, Administration Team Lead or Clinical Leads.

Main duties of the job
  • Support the multi‑disciplinary clinical team with administrative tasks.
  • Type and format letters and reports.
  • Take minutes.
  • Manage diaries.
  • React to task changes at short notice.
  • Assist with communications and diary management.
  • Maintain confidentiality and handle sensitive information.
  • Participate in relevant training and safeguard documentation.
Qualifications and experience
  • Experience working in a customer / patient focused environment (face‑to‑face and telephone).
  • Administrative/Secretarial experience.
  • Typing and formatting letters and reports.
  • Minute taking experience.
  • Diary Management.
  • Ability to be self‑directed, motivated and contribute positively within a team.
  • Ability to change tasks at short notice.
  • Reliable and punctual.
  • Flexibility to switch roles to meet service delivery needs.
  • Capability to handle emotionally stressful situations and attend required training.
  • Qualification: Level 3 word‑processing skills, e.g., NVQ Level 3 or equivalent.
  • Knowledge of NHS policies & procedures, Microsoft Office, RiO, office procedures, secretarial skills.
  • Experience with CPA, Mental Health Act and Safeguarding documentation.
  • Experience using stock‑ordering and petty cash systems.
