A recruitment agency is seeking an Accounts Administrator to assist in a busy accounts department. This full-time role requires processing invoices, handling customer queries, and supporting month-end processes. Ideal candidates will have a GCSE in Maths and English, be working towards or hold an AAT Level 2 qualification, and possess proven accounts experience. Strong Excel skills and a confident telephone manner are essential, along with the ability to manage workloads and work under pressure.

Accounts Administrator

We have an exciting opportunity for an experienced Accounts Administrator working towards, qualified or has an interest in obtaining AAT Level 2.

Full clean driving licence and own transport is an advantage due to the location of the offices.

You will work in a varied role providing assistance in the Accounts department of this busy international company. This is a hands‑on full‑time role requiring the ability to listen and take direction, ensuring attention to detail and accuracy as well as working to accounting deadlines. You may also be required to cover for Accounts Assistant and support Accounts Office Manager.

Salary: £24,000 per annum DOE + Benefits

Location: Houghton PE28

Responsibilities
  • Accounts Receivable – Processing Daily Sales Invoices/Credit Notes & Refunds/Remittances/Monthly Statements & Reconciliations.
  • Dealing with any Customer Queries – Copies of invoices, statements PODs.
  • Assist Account Assistant with Credit Control.
  • Initial credit checks for new customers and increase limits for existing customers for Accounts Manager to sign off, then update the system and customer.
  • Support for Credit safe email alerts and update the Sales Team & Account Manager.
  • Support with emails/phone calls from customers and sales staff.
  • Printing, Sorting Assigning Emails from Customer & Supplier email box to the relevant person.
  • Create, record, deactivate & Post Payment Links.
  • Email invoices to overseas customers and deal with queries.
  • Processing Credit Note/Refund for our Online company GT.
  • Updating Freight Charges for our Samples and free‑of‑charge orders.
  • Update freight costing sheet (Charges Vs Cost on Freight to customers).
  • Freight claims (with Freight Suppliers for Damaged/lost & late delivery).
  • Updating Picker/Checker Daily spreadsheet for Errors.
  • Updating Error Spreadsheet with issues and actions.
  • Updating overseas orders – keeping spreadsheet up to date and dealing with incoming emails & notifying Account Manager/Account Assistant when payments are due.
  • Assist with staff expenses and company credit cards.
  • Assist with month‑end processes.
  • Ad hoc admin duties.
  • Support Manager to ensure the accountants are provided with all year-end information.
  • The main challenges in this role will be keeping processes up to date and keeping up to date with legislation.
Person Specification
Education and Qualifications
  • Maths and English to a minimum of GCSE or equivalent standard with C/4 grades or above.
  • An interest in working towards AAT L2 or Working towards or qualified at AAT level 2 or equivalent accounting qualification.
Knowledge and Skills
  • Excellent telephone manner.
  • Computer literate, confidence in use of MS Office, internet and email in particular, Excel.
  • Proven experience in an Accounts role within an accounts team.
  • Proven people management experience.
